About the Role

The position is primarily responsible for handling and delivering all the training logistical requirements and administrative support for AIA PH Academy

  • Manages overall logistical concerns of AIA PH Academy, including but not limited to the following: travel arrangements, training supplies, and event execution.
  • Tracks and monitors the Academy’s budget ensuring proper use of resources, and that department’s spending is aligned with company’s expense policy.
  • Prepares finance-related support including end-to-end ARIBA process.
  • Ensures timely filing and payment of Academy-related third-party providers such as the Learning Management System (E-Learning) provider and industry-related vendors such as LIMRA and GAMA and keeps records of the third-party provider contracts.
  • Coordinates important schedules for Academy such as Planning Sessions, General Assemblies, Quarterly Business Reviews, etc.
  • Maintains physical & digital files in an organized manner.
  • Manages, prepares, plans, and maintains the inventory of office supplies, equipment, and the like for the Academy.
  • Ensure timely release of supplies and equipment whether new or replacements.
  • Performs other duties that may be assigned by the supervisor from time to time.
