Position Title : Administrative and Communication Coordinator
Work Hours (Client) : 7am to 4pm ET | Mon - Fri
Work Hours (MNL) : 8pm to 5am MNL | Mon - Fri
Holidays : TBD
Pay Range : $800 - $1200/month (depending on interview assessment and client's approval) Please take note that pay will be given in USD
Duties and Responsibilities:
If you love doing executive admin related tasks and having the opportunity to connect and interact with customers and clients, this role is for you!
The role primarily involves answering incoming calls and assisting with administrative tasks for the controller. Approximately 20 hours per week will be dedicated to phone duties, including scheduling appointments, contacting vendors, and completing forms. The position combines front desk customer service with administrative assistance, without a ticket system. The ideal candidate will handle incoming calls, route calls, take messages, and support the controller with tasks like document management and vendor/client communication. This role is split evenly between inbound phone attendant and executive assistant to the controller.
- Answer and greet callers warmly.
- Listen to caller's needs and determine the right DD&G contact.
- Keep an updated list of employees and roles for accurate call routing.
- Use the phone system to transfer calls to the correct person.
- Take messages when the desired contact is unavailable.
- Provide basic information about DD&G to callers.
- Maintain a positive, empathetic, and professional attitude towards customers at all times.
- Assist with various administrative tasks such as data entry, scheduling, and document preparation
- Manage and organize the controller's calendar, scheduling meetings and appointments.
- Handle email correspondence, prioritizing emails and responding on behalf of the controller when appropriate.
- Manage travel arrangements and itineraries for the controller.
- Handle confidential information with discretion.
Minimum Requirements:
- 3-5 years of proven experience as an Executive Assistant or in a similar role for a USA company.
- Proficient in English, both written and verbal
- Strong organizational and multitasking skills
- Ability to handle confidential information with discretion
