What are we looking for?
Skills Required:
- Bachelor's degree in Accounting, Finance, or a related field
- Minimum of 1 year of experience in Project Management
- At least 3-5 years of administrative experience
- Proficiency in Microsoft Office products, including Word, Excel, and Outlook
- Exceptionally strong organizational, time management, and attention to detail skills
What will you do?
- Client Job and Document Management:
- Handle client portal uploads and downloads.
- Process and organize documents received via email within client folders.
- Send email notifications to clients and tax preparers as needed.
- New Client Onboarding:
- Welcome new clients with an email introduction.
- Assign a unique Lacerte Tax ID number.
- Set up client portal login and send an access invitation.
- Create new client records in the firm's system, including client number, Outlook database entry, file folder creation, and setup in QuickBooks and LaCerte (if complete information is available).
- Send new client forms via email and track their response. Follow up on missing forms promptly.
- Update client status in Office Tools to "Docs In" and assign the file to a tax preparer.
- Document actions taken and any relevant comments in Office Tools for tracking purposes.
- Research and collect essential client business information, such as annual statements of information, business licenses, SOS#, EIN, DOB, and SSN (if applicable).
- Client Management and Communication:
- Add new client entities to the firm's software.
- Send engagement letters.
- Assign Lacerte numbers, set up folders and file shortcuts, and add group names in Office Tools.
- Communicate with clients as needed to provide excellent customer service.
- Tax Return Processing:
- Assemble completed client tax returns.
- Invoice clients for tax preparation services.
- Send tax returns to clients and follow up on unacknowledged deliveries.
- E-filing and Client Communication:
- Electronically file tax returns once signatures and payments are received.
- Document all actions within the practice management software.
- Monitor e-filing status and update client file records accordingly.
- Contact clients if additional documentation is needed for e-filing (e.g., 1095 forms or dependent information).
- Office Tools Management:
- Manage and track the Office Tools inbox for requests from different departments.
- Send follow-up reminders to ensure tasks are completed by relevant teams.
- Project and Client Support:
- Assist with various projects, including tax vouchers, extensions, annual engagement letters, and updating client and job information in Office Tools.
- Provide general support for Office Tools management tasks.
- Enter client data into LaCerte software and manage their client folders.
- Staff Support:
- Provide backup support to other staff members as needed.
