Bollore Logistics Philippines, Inc. is currently seeking an IFFO - AirFreight Specialist (Import) to join our team. In this role, you will be responsible for managing the airfreight import operations to ensure smooth execution and timely delivery of shipments.
Key Accountabilities:
1. Ensures that all necessary information and documents concerning inbound cargoes through agents, carriers, and customers are promptly and accurately disseminated to concerned parties.
2. Inquires the departure / arrival of carrier with various shipping lines and airlines / co-loaders
3. In charge of weekly reservation and booking with shipping lines / airlines, upon receipt of Transport Order from ODS
4. Prepare TOR for ODS TOM creation ( if required)
5. Receives shipping instructions and coordinates pick-up arrangements with trucking companies.
6. Ensures clearance of import cargoes are pre-advise to consignee prior the arrival of goods at destination.
7. Prepares billing instructions and eventually send this to Finance Department.
8. Coordinates with airline / shipping line, agents and consignee in obtaining Original Bill of Lading or Waybill, and other documents related with shipment release.
9. Prepares invoices for payment request to consignee upon receipt of the finished process from agents.
10. Prepares request for check/payment for freight and other related bills.
11. Coordinate trucking and/or brokerage requirement of shipment, if required.
12. Assists client on their inquires related to export shipments.
13. Monitors the airline or shipping line acceptance for slots and/or excess strip
14. Monitors possible caged shipment, Sanitary and Phytosanitary Clearances, Flight disruptions (airline failure to uplift), change in routing.
15. Receives and verifies delivery receipts, collects and monitors mailing of pre-alerts; sends arrival alert and documents to consignee as soon as cargo is released from airlines.
16. Performs other functions that may be assigned from time to time
Execute transport orders in the TMS according to SOPs
1. Check all required documents & compliance : commercial invoice, packing list, cargo compliance (nature / geography /..)
2. Perform the transport plan according to CES booking instructions and local & global regulation
3. Produce documentation according to customer profile and country specifics
4. Organize pre & post-carriage with Road department or SSC
5. Input up to date information in the TMS : Tasks, milestones, events, deviations and any other relevant information to guarantee execution of the shipment and data quality according to customer SOP and our internal standards
6. Control detention and demurrage risk
Network interactions
1. Coordinate with COS in case of operational issues and on productivity
2. Coordinate with CES in case of amendment of solution and if needed
3. Coordinate with BPO, SSC and HUB to complete execution
Manage invoicing
1. Perform autorating
- control correct rate application
- If error is identified amend rate and escalate issue to auto rating accountable
2. Post and send customer invoice according to customer SOP and internal standards
3. Assist accountable teams in case of invoicing discrepancies
Order Desk Support
Receive transport order
1. Receive transport order from handover from :
- CSS handover
- End customer contact email - phone
- EDI / Transport Request (TR) - accessible directly in TOM
Record Transport Order
1. Customer transport order creation
2. Transport order qualification: control of price availability, scope of work, 3rd parties, customer specific instructions, documents
3. Acknowledge customer
4. Handover to CES for routing optimization
* in case of EDI / TR record becomes control
Network interactions
1. Connect with CSS in case of missing or wrong price
To be successful in this role, the ideal candidate should have:
- At least theree (3) years of experience in Freight Forwarding/Logistics industry
- Strong knowledge of import procedures, documentation, and regulations
- Proficiency in MS Office applications, Customs, E2M, CW1 and manifest
- Excellent communication and interpersonal skills
- Ability to work independently and handle multiple tasks simultaneously
- Attention to detail and problem-solving skills
- Customer-focused mindset and ability to build strong relationships
- Flexibility to work extended hours when required
