Job Responsibilities:
- Reception duties - answer and direct phone calls, organise & serve refreshments for clients/meetings, distribution of incoming mail, letters, faxes
- Diary Management - organize and schedule appointments
- Office Management - cleanliness of office, upkeep of all office automation, replenish office supplies such as pantry and stationery stock
- Filing Management - maintain a structured filing system
- Fleet Management - insurance & road tax renewals of company vehicles
- Liaising with Suppliers, Building Management Office, Parking Office, Company Secretary and Auditors
- Travel arrangements - flight tickets, hotel, limo, logistics arrangements for office staff & visiting guests.
- Claims Management - submit and reconcile monthly travel & credit card expense reports.
- Petty Cash Management
- Draft professional emails & letters in English and Bahasa Malaysia
Requirements:
- Minimum 2 years proven experience as an administrative assistant, office secretary or admin secretary.
- Minimum Diploma in Business Administration/Management; additional qualification as an Administrative Assistant or Secretary will be a plus.
- Knowledge of office management systems and procedures.
- Proficient in MS Office (MS Word, MS Excel and MS PowerPoint).
- Good time management skills and the ability to prioritize work.
- Well organized, attention to detail and problem solving skills.
- Professional demeanor and attitude
- Must always demonstrate high degree of integrity in maintaining confidentiality
- Must be able to work long hours if required.
