About the job:
Role: Executive Assistant
Work schedule: Full Time | 40 hours per week | Monday to Friday, within 8AM to 7PM Pacific Time
Salary Range: US $1,500.00 per month (Dependent on your skills and experience)
About the Role:
In this unique combination role, you'll provide exceptional support to our executive team while also contributing to our marketing efforts. You'll manage the executive calendar, ensure smooth daily operations, and assist with various marketing tasks. This role requires a detail-oriented individual who can prioritize effectively, manage multiple tasks simultaneously, and thrive in a dynamic environment.
Duties and Responsibilities:
- Administrative Support
- Provide exceptional administrative support including handling email correspondence, scheduling meetings, and managing calendars.
- Client Request Management
- Review client requests for quotes and ensure all necessary information is available.
- Prepare and deliver quotes to clients in a timely and accurate manner.
- Maintain accurate and up-to-date records of quotes and follow-up activities.
- Customer Service
- Provide exceptional customer service to clients throughout the quote process, ensuring a smooth and positive experience.
Immediate tasks anticipated for the candidate to fully own on week 1:
- Onboarding and training sessions.
- Setting up and familiarizing with the CEO’s calendar and scheduling tools.
- Reviewing client requests for quotes and initiating the quote preparation process.
- Initiating lead generation activities based on the provided ICP traits.
- Attending introductory meetings with key team members and stakeholders.
- Starting follow-up communications with existing leads and potential clients.
- At least 2 years experience as an Executive Assistant / Quote Coordinator or similar role
- Knowledge of HubSpot, Slack, Bonus: Superhuman, Google Agenda
- Background in sales support and operations.
- Strong attention to detail and accuracy
