Job Description

1 Operational Support:

  • Assist the GM in planning, coordinating, and managing daily business operations.
  • Ensure that all departments are functioning efficiently and effectively.
  • Handling important and urgent customer queries on phone and email. 
  • Oversees daily support activities.
  • Overseeing special projects and tracking progress towards company goals.

2 Administrative Duties:

  • Assist with administrative tasks such as scheduling, reporting, and record-keeping.
  • Prepare reports, presentations, and correspondence for the GM.
  • Manage office supplies and equipment.
  • Supervising office maintenance and renovation activities.

3 Collection Management:

  • Monitor collection performance and help ensure the company meets its collection goals.

4 Customer Relationship Management:

  • Ensure high levels of customer satisfaction by addressing complaints and feedback.
  • Oversee customer service operations and standards.

5 Logistics Coordination:

  • Coordinate with freight forwarders, shipping lines, and customs brokers to arrange transportation of goods.
  • Track shipments and ensure timely delivery to the destination.
  • Manage logistics costs and negotiate freight rates.
  • Obtain necessary permits and licenses for import and export activities.

6 Quality Control:

  • Ensure that all products and services meet quality standards.
  • Implement and monitor quality assurance processes.
  • Address any issues related to product or service quality.

7 Regulatory Compliance:

  • Ensure that the company complies with all relevant laws and regulations.
  • Help prepare for and manage audits and inspections.
  • Maintain up-to-date knowledge of industry standards and best practices.
  • Collaborate with Occupational Health and Safety to promote a safe work environment.  

8 Cross-Functional Collaboration:

  • Work closely with other departments to ensure alignment and coordination.
  • Support cross-functional projects and initiatives.
  • Facilitate communication and collaboration between teams.
  • Develop and implement training programs to enhance employee skills and competencies and support career growth.
