Must-have Skills / Qualification:
POEA and Embassy experience is nice to have
Overseas recruitment agency experience is mandatory
Extensive experience as an Office Manager or Administrative Manager - Minimum of 5 years of experience in operations or office management, preferably in a processing environment.
Knowledgeable of office administration responsibilities, systems and procedures
Proficiency in MS office / familiarity with email scheduling tools
Excellent time management, multitasking skills
Attention to details and problem-solving abilities
Strong written and verbal communication skills

Duties and Responsibilities:
Will be responsible for managing day-to-day operations, ensuring efficient workflow, and maintaining a productive and positive work environment.

Schedule meetings and appointments
Organize office layout and manage logistics and equipment
Maintain a harmonious office condition
Update and maintain office policies with HR
Assist with newly-hired paperwork and orientation
Oversee office operations / documentation and procedures are in place
Conduct regular team meetings to communicate goals, updates, and provide feedback.
Handle team scheduling, workload distribution, and ensure adequate staffing levels.
Develop and implement efficient processes to streamline operations and improve productivity.
Monitor and analyse key performance indicators (KPIs) to identify areas for improvement
Implement corrective actions to address quality issues and prevent recurrence.
Anticipate potential issues and develop strategies to address them proactively.
Think on your feet and make decisions quickly and effectively under pressure.
Stay up to date with the latest visa requirements, work permits, and immigration policies.
Ensure smooth and accurate processing of visas and work permits.
Liaise with embassy’s, consulates, and government bodies as necessary.
Serve as a liaison between the Manila office and our other offices in Ireland, the UK and Dubai to ensure effective communication and coordination.
Facilitate clear and concise communication within the team and with other departments.
