About the team
Track, document and scan fully executed agreements as received from Sales Administration. Provide database support to Sales, Internal Systems Development and Internal Employees. Review and update internal systems to ensure client data is accurate as reported by data feeds obtained from outside resources, sales and internal employees.
What you will be doing
• Demonstrates an overall understanding and knowledge of supported applications and production environment.
• Provides maintenance of database following established standards and processes.
• Enforces database standards and follows up on inconsistencies.
• Performs quality assurance checks as stipulated in the department guidelines.
• Searches and interprets government or financial websites to ensure accuracy of database.
• Researches and maintains accurate client-specific data in database as received from internal departments, clients and government or financial websites.
• Obtains executive-level signature on contracts, scans and indexes contracts into database; generates letter and fully executed agreement for distribution to client.
• Indexes and scans agreements and other documents for access by the entire division.
• Quality checks scanned documents to ensure database integrity and indexing is complete and accurate.
• Provides support in research and resolution of problems and inquiries relating to contracts and database.
• Prepares weekly and monthly departmental reports.
• Works with infrastructure and application change owners to ensure all requests for change are executed according to defined policy and process.
• Provides assistance for special migrations projects including corporate acquisitions to ensure data converted is accurate and meets the defined standards.
• Collaborates with sales executives and relationship managers, product managers and senior management to provide database updates.
• Other related duties assigned as needed.
What you bring
• Considerable knowledge of standards and best practices relevant to database management
• Experience using Xant, Dynamics Mass Email Marketing, Dynamics Basic Access, S&P, NeverBounce, Power BI, MS Excel, Sales Navigator and Excel VBA Macros is a plus
• Knowledge of basic problem resolution and escalation practices
• Ability to apply contract administration and practices concepts
• Ability to provide acute attention to detail
• Ability to communicate effectively to all levels within the organization
• Decision making ability within specified parameters
• Ability to effectively establish and maintain relationships across the organization
• Communicates ideas both verbally and in written form in a clear, concise and professional manner
• Strong organizational skills and ability to handle multiple tasks and meet deadlines
