Scope of Work:

Appointment Setters play a pivotal role in handling diverse customer issues within specific client assignments, primarily centered around patient scheduling transactions. Their core responsibilities encompass telephone interactions with patients, meticulous documentation of these interactions, and fostering effective collaboration with patients and providers to enhance patient care quality.

Responsibilities:

  • Answer incoming calls promptly and courteously, maintaining a professional demeanor throughout.
  • Accurately gather and input demographic information into electronic medical records.
  • Respond to inquiries and provide requested information, aiming to deliver patient-centric service and uphold a positive organizational image.
  • Advocate for and adapt to improvements in call flow processes and communication protocols.
  • Propose enhancements and actively engage in initiatives to elevate service standards.
  • Achieve and surpass set call volume targets.
  • Strictly adhere to HIPAA (Health Insurance Portability and Accountability Act) policies and Sequence Health regulations.
  • Route calls to relevant departments as necessary.
  • Exercise sound judgment in handling calls, particularly in situations involving upset patients.
  • Recognize appropriate instances for escalating calls to physicians, practice managers, or triage nurses.
  • Assist with reminder and rescheduling calls as required.
  • Support callbacks and additional projects as call volumes allow.
  • Perform any other duties assigned by supervisors or managers.

Qualifications:

  • Preferred minimum of 2 year of experience in a medical or healthcare setting.
  • Exceptional communication skills, both verbal and written, with a proactive and positive approach to collaboration, particularly in identifying opportunities for improvement.
  • Proficiency in Microsoft Office Suite (including Excel, Word, and Outlook) and internet usage.
  • Demonstrated ability to efficiently multitask under time constraints.
  • Capability to handle sensitive and confidential information with discretion.
  • Prior experience in managing customer-focused accounts.
  • Proven track record in fostering a service-oriented team culture.
  • At least 2 year of prior experience in appointment setting, customer service, or a related field
  • Willing to work on a nights shift schedule (11:00pm - 7:30am Manila Time)
  • Willing to work onsite (Clark Global City)
