Job Description
- Act as a trusted point of contact for the Director for all internal employees and external parties.
- Managing internal and external correspondence on behalf of the Director as assigned and authorized.
- Deputizing for the Director, making decisions, dedicating work to others and meeting with external clients/customers in his absence as assigned and authorized.
- Work closely and effectively with the Director to keep him well informed of upcoming commitments and responsibilities, while following up appropriately.
- Act as a “barometer”, having a sense of the issue taking place in the internal & external environment and keeping the Director updated at all times.
- Provide a bridge for clear communication and maintain credibility, trust and support between the office of the Director and staff under his portfolio.
- Undertake project work and administration to support ongoing business execution and group communications, including collating information, formatting documentation, organizing meetings and developing presentations.
- Participate in all monthly meetings involving the Director which includes but is not limited to department meetings, internal control meetings (IPO), driver meetings etc.
- Prepare correspondence and other communications as may be directed by the Director.
- Prepare agenda, take minutes, distribute meeting minutes and take note of all follow-up actions required from all meetings diligently
- Prepare travel arrangements, expense report, and all items needed to ensure the Director successful focus on external relation and organizational growth.
- Keeping track of the Director's calendar, activities and acts as his reminder for all important upcoming events, birthdays, festivities, etc.
- To occasionally travel with the Director locally to other warehouse locations and for meeting with clients.
- Other ad-hoc tasks that may be deemed necessary and assigned from time to time.
Job Requirement
- Candidate must have at least a Diploma/Degree in Business Administration or equivalent.
- Experience as a personal assistant, executive assistant, secretary or other similar capacities will be an added advantage. Fresh graduates are also welcomed to apply as training will be provided.
- Committed, energetic and have a pleasant personality.
- Able to communicate and interact effectively with all levels of employees and stakeholders.
- Well versed with MS Office - MS Word, MS Excel, MS Power Point.
- To maintain complete professionalism in conducting oneself when meeting clients on behalf of the Director, including good communication and ensuring consistent positive outcome of a meeting.
