Responsibilities
- Assist in daily department activities including following up with orders, coordinating with the production personnel on production scheduling, and delivery date arrangement, and communicating with customers frequently.
- Handle the processing of all orders with accuracy and timeliness.
- Follow up closely with urgent orders, cancelled orders, and hold orders, and report customer feedback to management.
- Co-ordinate with warehouse & store , production for daily delivery arrangement.
- Processed daily Purchase order, samples order, Sales agreement order use SQL system
- Processes order local & overseas and together process until shipment complete.
- Processed stock transfer from Warehouse to customer or customer to customer
- Create Credit note for goods return from customer either good stock or bad stock.
- Create Credit note and debit note for any invoice adjustment, etc.:- wrong item billed or wrong price billed.
- Handle daily PO with no stock item, send indent to Purchasing department for their next process. Focus on chasing stock from Purchasing department for goods delivery to customer
- Handle daily order from shopee and lazada. Help to answer enquiries and solve customer problem from E commerce platform.
- Update to Credit department for every order with credit limit
- Email to RFM department to get quotation on every PO.
- Maintain daily printing all Purchase order from Email or Sparks system.
- Generate every order Picking list and email to warehouse for their stock picking.
- Update daily logistic logbook and Book transporter for every delivery.
- Undertake all filling as required
- Solve customers, salesman & transporter complaints and any problem incurred.
- Assist on the administrative tasks in the office
- Maintain the office administration filling & stationery request from staffs
- Assist on staff attendance records
- Report to Senior Operation Manager
Requirement
- Candidate must at least with SPM qualifications or above in any fields.
- Preferred candidates with experience, though fresh graduates with admin internship experience are encouraged to apply.
- Proficient in computer skills.
- Must be able to communicate in English, Bahasa, and Mandarin (as business required); strong written communication skills are an advantage.
