Job Description: Property Administrator and Accounts Assistant
Position Summary: The Property Administrator and Accounts Assistant will handle administrative and accounting tasks related to commercial and residential real estate management. This role ensures the smooth operation of property-related services by managing compliance, maintenance, and financial tasks efficiently. The position requires proficiency in property accounting software and general administrative duties to support the team.
Key Responsibilities:
- Property Management & Compliance
- Track and ensure property statutory compliance with all legal and regulatory requirements.
- Coordinate planned and reactive maintenance tasks for properties, ensuring timely follow-up and resolution.
- Accounting and Financial Management
- Keep property accounting software updated by:
- Posting tenant receipts and applying payments to the correct accounts.
- Posting purchase invoices to the appropriate property, budget category, and cost center.
- Run invoicing routines to ensure accurate and timely billing for tenants.
- Assist in managing service charge allocations, calculations, and reconciliations.
- Administrative Support
- Take and relay phone messages, providing excellent customer service to tenants and vendors.
- Provide general administrative support, including preparing documents, organizing files, and managing correspondence.
- Software and Tools Management
- Use Logican Property Accounting Software and FreeAgent Accounting Software for all property-related accounting tasks.
- Manage records, calculations, and data entry using Microsoft Excel, Outlook, and Word.
- Handle maintenance requests and updates through Fixflo Job Management Software.
Qualifications:
- Experience in property administration, accounting, or related field.
- Proficiency in property management and accounting software, particularly Logican, FreeAgent, and Fixflo.
- Strong knowledge of Microsoft Office Suite (Excel, Outlook, Word).
- Excellent communication skills, both verbal and written.
- Strong organizational skills and attention to detail, with the ability to prioritize tasks effectively.
