The Executive Support Administrator directly supports the Director of Financial Operations, and the Sales & Bids team while assisting with other office administrative responsibilities, as needed. The Exec Support Administrator role will include providing support to our managers and employees, assisting in daily office needs, and managing general administrative activities. The Exec Support Administrator's responsibilities include coordinating travel and meeting arrangements, preparing PowerPoint presentations, and maintaining appropriate filing systems. The person in this role will possess excellent oral and written communication skills and be able to organize their work using tools, such as MS Office.
Responsibilities:
- Provide routine administrative support such as diary management, including monitoring time-sensitive responses and/or deadlines that require follow-up
- Global travel coordination including visa applications, flights, accommodation, and airport transfers
- Coordinate and support offsite meetings including caterers, team dinners and team-building activities
- Process expenses, and purchase orders and deal with accounting-related issues
- Complete ad-hoc projects on an as-needed basis
- Maintain annual leave roster for the Sales & Bids team
- Develop strong relationships with the company’s Executive Assistants
- Ad-hoc: Support the EMEA / APAC VP Executive Assistant as and when required
- Other administrative duties, as assigned
