About the Role:
We are seeking a proactive and detail-oriented Coordinator Change Management and Training to support the planning, execution, and administration of change management and training programs within the organization. This role will focus on ensuring that employees are effectively prepared for change initiatives through structured training programs, clear communication, and successful implementation of change processes. You will work closely with various teams to manage change efforts and enhance organizational adaptability.
Key Responsibilities:
Change Management Support
- Assist in planning and implementing change management strategies and activities to ensure smooth transitions during organizational changes, such as process improvements, system upgrades, and structural changes.
- Support the development and execution of communication plans to inform employees of changes, expectations, and benefits.
- Collaborate with stakeholders to identify the impact of changes on business units and teams, ensuring proper support and resources are provided.
- Track and report on the progress of change management initiatives, ensuring that milestones and timelines are met.
- Support change agents and managers in implementing change management processes, including training, communication, and feedback collection.
Training Program Development and Delivery
- Coordinate and deliver training programs to help employees develop the skills and knowledge needed to successfully adapt to changes within the organization.
- Collaborate with subject matter experts and managers to create customized training content related to change initiatives, including new processes, systems, tools, or roles.
- Organize and schedule training sessions, ensuring availability of resources such as trainers, venues, and materials.
- Track and monitor employee participation in training sessions and ensure that all relevant personnel are trained and certified as required.
- Administer evaluations and surveys after training sessions to assess effectiveness and gather feedback for continuous improvement.
Documentation and Reporting
- Maintain detailed records of change management activities, training sessions, employee participation, and feedback.
- Prepare regular reports on training progress, employee engagement, and the effectiveness of change management initiatives.
- Develop and update training manuals, guides, and other instructional materials to ensure clear and accurate documentation of change processes and training content.
- Ensure that all documentation is kept up-to-date and stored in compliance with organizational standards.
Stakeholder Communication and Collaboration
- Act as the point of contact for employees regarding change management and training activities, answering questions and providing support as needed.
- Collaborate with HR, leadership teams, and other departments to align change management and training efforts with organizational goals.
- Facilitate regular meetings with project teams, department heads, and change leaders to update on change progress, challenges, and support needs.
- Assist in fostering a culture of continuous learning and adaptation through effective communication and training programs.
Training Needs Analysis and Planning
- Conduct assessments to identify training needs related to change initiatives and gather feedback from employees and managers on existing knowledge gaps.
- Work with leadership teams to prioritize training needs and create a development plan for affected employees.
- Assist in designing learning paths and recommending resources to improve skillsets and support professional development during organizational changes.
Continuous Improvement
- Gather feedback from employees and stakeholders to continuously improve change management and training programs.
- Stay updated on best practices, tools, and trends in change management and training methodologies.
- Recommend new training technologies, techniques, or approaches to enhance employee learning experiences.
Qualifications and Skills:
- Education: Bachelor’s degree in Business Administration, Human Resources, Organizational Development, Education, or a related field.
- Experience:
- 2-4 years of experience in change management, training coordination, or a related role within an organizational setting.
- Experience working with change management frameworks and methodologies (e.g., ADKAR, Prosci).
- Knowledge of training delivery methods, such as instructor-led, e-learning, and blended learning approaches.
- Familiarity with organizational change efforts, such as system upgrades, process changes, or restructures.
- Technical Skills:
- Proficiency with learning management systems (LMS), training software, and collaboration tools (e.g., MS Office Suite, Google Workspace).
- Strong knowledge of project management tools to track and manage change initiatives and training schedules (e.g., Asana, Jira, Trello).
- Understanding of employee engagement and communication platforms to facilitate training and change communication (e.g., Slack, Microsoft Teams).
- Soft Skills:
- Excellent organizational and time-management skills, with the ability to manage multiple projects simultaneously.
- Strong communication skills, both written and verbal, with the ability to explain complex ideas in a clear and concise manner.
- Ability to work collaboratively across departments and foster relationships with stakeholders at all levels.
