Position: Account Manager Associate - Reporting Specialist

Schedule: Monday to Friday, 9am - 6pm EST ( 10pm-7am PHT)

Salary Range: 800-1500 USD/month (to be assessed and approved by the client based on the candidate’s experience, knowledge, skills, and abilities)

About the Role:

We are seeking a detail-oriented and analytical Account Manager Associate to join our team as a Reporting Specialist. In this role, you will play a crucial part in ensuring accurate and timely reporting by pulling daily & weekly reports from Excel and other data sources. The ideal candidate possesses strong Excel skills, a keen eye for data accuracy, and a proactive approach to problem-solving. Your contributions will directly impact decision-making processes and help drive our business's success.

Duties and Responsibilities:

• Data Extraction: Utilize advanced Excel techniques to extract and compile relevant data from various sources. 
• Report Generation: Generate daily reports showcasing key metrics, performance indicators, and other relevant data that provide insights into the business's operations, client interactions, and sales activities.
• Data Accuracy: Ensure the accuracy and integrity of all data extracted and reported, performing thorough quality checks and validation procedures to identify and rectify any discrepancies.
• Report Customization: Collaborate with Account Managers and other stakeholders to understand their specific reporting needs and customize daily reports accordingly.
• Data Analysis: Analyze trends and patterns within the reports to identify potential areas for improvement, growth opportunities, and actionable insights.
• Collaboration: Work closely with cross-functional teams, including Account Managers, Data Analysts, and IT, to ensure smooth data flow and reporting processes.

• 2+ years’ experience in Business, Finance, Analytics, or a related field.
• Proficiency in Microsoft Excel
• Must be fluent in English (written & spoken)
• Strong analytical mindset with a keen attention to detail.
• Excellent communication skills, both written and verbal.
• Ability to work independently and collaboratively within a team.
• Problem-solving orientation with a proactive and self-motivated attitude.
• Prior experience in data extraction, analysis, and reporting is a plus.

A Day in The Life:

• Creating and maintaining documents and project management software to track statuses, approvals, and timelines
• Ensure recaps from our Event Organizers are completed on time and contain the necessary requirements
• Answering Event Organizer questions to provide a high level of customer service
• Support Account Coordinator and Account Managers in developing and implementing account strategies to achieve client objectives and maximize client satisfaction
• Compile and create comprehensive brand recaps based on provided data and information

SPECIFIC DUTIES AND RESPONSIBILITIES

• Support and partner with a Account Coordinator and Account Manager on multiple accounts
• Ensure Organizers have all payment information including W9s and onboarded into our payments platform to ensure timely payments
• Follow up Organizers as needed to collect recaps
• Process timely payments for recaps that meet all requirements
• Process timely vendor credits for recaps that are not received on time or do not meet the requirements
• Help create recaps for brands as needed
• Become an expert at using our product and make recommendations for improvements
• Become an expert on converting early customers to power users of our platform
• Provide input on ways we can streamline processes and execution
• Quality check product to ensure all aspects of product function properly and are as intuitive as possible
• Correspond with event organizers to ensure prompt responses
• Proactively troubleshoot bugs and eliminate waste from our systems
• Navigate an ambiguous, low oversight role and thrive in uncertainty by applying a bias towards proactive problem solving

• At least 1-2 years of previous experience in a similar position in administrative or account management
• Strong attention to detail, organized and driven
• Ability to meet strict deadlines

A DAY IN THE LIFE:

• Maintaining communications with customers and organizers in current campaigns to ensure that their needs are met
• Responding to customer inquiries and resolve issues through various channels, including email, chat, and phone
• Support Account Coordinator and Account Managers in developing and implementing account strategies to achieve client objectives and maximize client satisfaction
• Manage and process billing activities accurately and in a timely manner
• Collaborate with finance and accounting teams to ensure billing compliance

SPECIFIC DUTIES AND RESPONSIBILITIES

• Support and partner with Account Coordinator and Account Manager on multiple accounts
• Oversee the offer acceptance workflow including making calls, emails, and sending SMS to Organizers to accept offers in a timely manner
• Ensure and maintain Organizer profile’s so that their organization’s contacts, billing, and logistics information is accurate at all times
• Track and coordinate all aspects of program execution including shipping, printing, and communicating with Event Organizer's on how programs should be executed
• Become an expert at using our product and make recommendations for improvements
• Host campaign debriefs to understand the effectiveness and make recommendations for future events to drive sales
• Learn strategies and ways to expand and grow our Event Organizer accounts
• Communicate client strategies and goals to internal teams to help acquire more supply where it is needed
• Document daily activity in the CRM
• Become an expert on converting early customers to power users of our platform
• Ensure all event logistics are accurately and effectively communicated to the customer teams

Position : Accounting and Client Support Specialist

Working Hours : Monday to Friday, 9 AM - 5 PM Eastern Standard Time (EST), Flexibility but with at least 4 hours overlap

Salary Range : $1500-$2000

Duties and Responsibilities:

• Accurate bookkeeping and financial record maintenance for both the company and its clients.
• Processing and reviewing accounts payable invoices post-AI tool processing.
• Handling and resolving client support inquiries regarding accounting and invoice processing.
• Collaborating with the AI tool development team to enhance tool effectiveness and client satisfaction.
• Performing regular audits and preparing financial reports and statements.
• Implementing and adapting to new accounting procedures and systems.
• Ensuring top-notch client service, maintaining client satisfaction and retention.

• 3+ years of experience in accounting and finance.
• Proficiency in Microsoft Excel, Quickbooks Online and any accounting software.
• Strong data entry skills with high accuracy.

• Familiarity with AI processing tools in finance is preferred. 
• Experience in a client support role is a plus.
