We are looking for a skilled professional who provides administrative support to executives and senior management. The administrative assistant will handle various tasks, such as managing schedules, handling correspondence, organizing meetings, facilitating the expense reimbursement of the General Managers, maintaining records, and ensuring smooth operations and effective communication within the organization.

• Act as the point of contact between the executives and internal and external clients
• Support the employees by facilitating expense reimbursements
• Undertake the tasks of receiving calls, taking messages and routing correspondence
• Handle requests and queries appropriately
• Maintain diary, arrange meetings and appointments and provide reminders
• Make travel arrangements
• Take dictation and minutes and accurately enter data
• Produce reports, presentations and briefs
• Develop and carry out an efficient documentation and filing system

Job Description:

Position Overview:
We are seeking a highly organized and professional Personal Assistant to support our travel operations. The ideal candidate will have exceptional communication skills, a strong attention to detail, and experience in the travel industry. You will be responsible for liaising with hotels, airlines, and other travel service providers, managing itineraries, and ensuring seamless travel arrangements for clients.

Key Responsibilities:

• Professionally communicate with hotels, airlines, and other travel providers via phone and email to handle special requests, follow-ups, and ensure client satisfaction.
• Create detailed travel itineraries using Travefy to provide clients with an organized and memorable experience.
• Manage tasks and projects effectively using ClickUp, ensuring deadlines and priorities are met.
• Research and gather information about global travel destinations to provide valuable insights and recommendations to clients.
• Maintain accurate records of correspondence and reservations, ensuring all details are up-to-date.
• Assist with administrative tasks related to travel planning and coordination.
• (Preferred) Utilize knowledge of Amadeus for booking and managing travel arrangements.

Qualifications:

• Proficiency in Travefy and ClickUp (or similar tools).
• Exceptional spoken and written English, with a professional demeanor when communicating via phone and email.
• Strong organizational and multitasking skills with the ability to manage multiple requests simultaneously.
• Knowledge of global destinations, cultural nuances, and travel trends.
• (Preferred) Familiarity with Amadeus or similar global distribution systems.
• Previous experience in the travel or hospitality industry is a plus.

• Assists the Director of Sustainability and Performance in achieving and maintaining sustainability certifications and supports the monitoring and reporting of progress on ESG, CSR, sustainability, and hotel performance goals. ​

• Provides administrative support to the department by managing correspondence and maintenance of records, schedules and coordinates meetings and monitors and manages office supplies. 

• Makes requests, monitors and tracks departmental supplies, and chemical amenities of the hotel.
• Prepares monthly reports, inventory of items, accruals, and expenses of the department.
• Provision of admin work including but not limited to updating bulletin boards, coordinating departmental activities, filing of documents and managing department. schedules

What you will do?

Marketing Project Activity Coordination:

• Assist in the planning, execution, and tracking of marketing activities, including completion of documents for internal approval and monitoring of activity milestones.
• Processes accreditation of vendors and hotels to be utilized in marketing activities and in coordination with Sales and Administration Assistant for proper maintenance.
• Manage travel arrangements (flights, transfers, and hotel accommodations) for target customers.
• Coordinate with distributors, vendors and marketing teams to ensure timely execution of marketing projects.
• Monitor and report on the progress and effectiveness of marketing campaigns.

Administrative Support:

• Provide general administrative support, including scheduling meetings, preparing reports, and maintaining records.
• Manage communications with external partners, including vendors and healthcare professionals.
• Prepare service agreements and sponsorship contracts of HCPs to be duly signed by nominated signatories within prescribed timelines.
• Prepare payment requests for all marketing related activities, e.g. payment for services, billing statements from vendors, with attached supporting documents to be provided by the KAM and to be submitted to Finance within the prescribed timelines.
• Ad hoc logistics support during marketing activities and meetings as needed.
• Monitors consumption reports and expenses related to marketing activities against budget.
• Assist in the preparation and distribution of marketing materials, brochures, and samples

Data Management:

• Maintain accurate records of marketing activities, including contact lists, distribution logs, and feedback from HCPs.
• Support data entry and management of customer relationship management (CRM) systems related to marketing activities for liquidation purposes.

Compliance and Document Management:

• Ensure all marketing activities comply with regulatory requirements and company policies.
• Prepare and maintain documentation related to marketing campaigns, including contracts, invoices, and expense reports.
• Receive and route documents to their recipients.
• Communicate with all concerned parties reports on document monitoring.
• Safekeep and monitor contracts related to marketing activities, such as service agreements of HCPs and contracts from vendors, etc.
