Position Overview
The Property Administrator and Bookkeeper is responsible for managing the administrative and financial tasks associated with property management. This role involves maintaining accurate financial records, overseeing property operations, coordinating with tenants and vendors, and ensuring compliance with relevant regulations. The ideal candidate should have experience in real estate, bookkeeping, and property management software.
Key Responsibilities:
Property Administration:
- Serve as the primary point of contact for tenants, addressing inquiries, concerns, and maintenance requests.
- Prepare lease agreements, renewals, and termination documents.
- Coordinate property inspections and ensure properties are well-maintained.
- Oversee vendor contracts, including maintenance, cleaning, and repair services.
- Maintain an organized filing system for all property-related documentation.
Bookkeeping and Financial Management:
- Record and reconcile financial transactions, including rent payments, security deposits, and operational expenses.
- Prepare and send out monthly rent invoices and follow up on overdue payments.
- Manage accounts payable and receivable for property operations.
- Generate financial reports, including profit/loss statements and cash flow summaries.
- Assist in preparing annual budgets and tracking expenses against projections.
Compliance and Reporting:
- Ensure compliance with local, state, and federal property management regulations.
- Assist in tax preparation by organizing and maintaining financial records.
- Monitor and report on financial performance metrics to property owners.
Qualifications:
- Bachelor’s degree in Business Administration, Accounting, or a related field (preferred).
- Proven experience in property administration and bookkeeping, ideally within real estate.
- Proficiency in property management software (e.g., AppFolio, Buildium) and QuickBooks.
- Excellent communication and customer service skills.
- Familiarity with local property management laws and regulations.
- Knowledge in QB Desktop
