As the Customer Service Supervisor, reporting directly to the Customer Experience Manager, you will play a critical role in ensuring that our inspection, audit, and lab testing programs not only meet but consistently exceed our clients' expectations. You will be responsible for upholding the highest standards of service quality, ensuring that every interaction reflects our commitment to excellence. 

Your main responsibilities will be (but not limited) to:  

• Establish and monitor Key Performance Indicators (KPIs) to ensure quarterly and yearly targets are met, consistently delivering reliable quality control results on time and achieving customer service objectives. 

• Apply strong data analytic skills to monitor and evaluate service quality metrics, analyze performance trends, and make data-driven decisions to improve the delivery of high-quality service for both internal and external clients. 

• Guarantee the timely and successful delivery of our solutions in alignment with internal and external customer needs and objectives. 

• Develop and implement solutions to enhance the value we deliver to both internal and external clients, while improving our overall quality of service. 

• Collaborate with cross-functional teams (Operations, Sales, Finance, IT) to nurture long-term relationships with assigned clients, ensuring their needs are accurately identified and fully met, leading to their complete satisfaction with our services. 

• Collaborate closely with the Finance team to ensure timely invoicing and effective payment collection, while consistently meeting DSO (Days Sales Outstanding) targets. 

• Provide regular updates to the Customer Experience Manager on team member challenges and collaborate on solutions. 

• Engage in process improvement projects that drive company growth and create action plans that emphasize fostering internal team collaboration and supporting employee career development. 

• Day-to-day communication with internal and external client’s key contacts and follow-up of activities. 

• Actively participate in team meetings and work collaboratively to resolve open issues. 

Your primary responsibility is to support the fast-growing Customer Success Management (CSM) team by reliably maintaining and improving business reports and processes.

Our goal is to meet and exceed clients’ expectations by acting as trusted advisors supporting their digital transformation.

Key Responsibilities include:

Standardization, Processes, Training:

• Contribute to Internal projects of formalization and standardization
• Create models to answer current business questions; validate and understand the conclusions
• Create presentations for Customer meetings
• Create quotation files and follow the invoicing process
• Assist in identifying improvements to our Internal Customer Success operations systems to improve processes
• Support to train other teams: Business Development Managers, Front-end and Customer Service.

Analysis & Strategy:

• Submit reports on Customer Success activities and results
• Maintenance of CSM business unit reporting tools, dashboards and reports
• Assist the Customer Success Strategist in building engagement strategies that will enhance the User Experience on our interfaces
• Assist the Customer Success Manager in building value narrative for our customers, based on data analytics and conversation insights

Client facing:

• Act as point of contact for vendors and customers in Asia
• Participate in client calls and client facing communications

Development, Improvement and Expansion:

• Be a customer advocate to ensure customer feedback is communicated to product and engineering team
• Be a champion of our software
• Work with Marketing team on promoting our software

Customer Service is responsible for establishing, maintaining and enhancing customer business through contract administration, customer orders, and problem resolution.

Customer Service Operations is responsible for providing outsourced services to customers relating to medical billing, medical reimbursement, and/or other services by acting as a liaison in problem-solving, research and problem/dispute resolution

External Qualifications

• 0-2 years of experience handling billing concerns, order management/ tracking
• BA, BS or equivalent experience in related field
• Knowledgeable with MS Excel; SQL knowledge a plus
• Can start ASAP

• Last Performance Rating of 3.0 / Meets/ Achieved
• No active PIP, DA or not under prescriptive period
• MS Excel knowledge

Job Description

The Client Service Rep is responsible for providing support to clients of Compliance Services.  The Compliance Services team provide services to the pharmaceutical and med device industries.  Work including Transparency Support and Outsourcing, Grants Management, HCP Screening and Tiering, and HCP Contracting.  Our teams need to provide service that is very accurate, timely, and with good customer service. 

The Client Service Rep delivers work every day using our proprietary software.  For that reason, comfort using technologies is critical.  Detailed process orientation and superior communication skills is very important.  Experience with pharmaceutical compliance regulations is helpful but not required.  Experience with legal contract concepts is helpful.      

Responsibilities:

• HCP Contracting

• After getting system generated requests, develop contract for HCPs using given templates.
• Communicate with the HCP regarding contracts, obtain signatures, answer questions.

• General

• Effectively communicates requests for required information (e.g., missing information, clarification of information, documentation)
• Provide updates to team management on status of work, and issues addressed.
• Ensure work delivered is of good quality.
• Adherence to various policies (i.e. confidentiality, sensitive communication, intellectual property)

Competency Requirements

• Proficiency in MS-Office, Word, Excel, and Outlook
• Comfortable using various technologies to perform work.
• Good organizational skills and ability to meet deadlines working within a time sensitive environment
• Ability to multi-task and prioritize
• Superior customer service
• Excellent communication and interpersonal skills, with the ability to build strong relationships internally and work within a team environment
• Background in Pharmaceutical compliance desirable, but not mandatory

Education, Skills, Experience Desired

• Bachelor’s degree or equivalent
• Contracts Management experience is a plus
• 3 to 5 years related work experience
