The position is responsible in managing the overall credit and receivable collection functions of the hotel in the most efficient manner in order to minimize the non-payment of accounts and potential bad debts.  

Primary Responsibilities  

CREDIT APPLICATIONS 

• Process credit applications within 10 working days, ensuring that clients are notified promptly and professionally. The credit worthiness of all applicants is formally checked and approval must be received from the Director of Finance or it’s designate. 

• Review the credit worthiness of all existing non-Accor approved clients on a yearly basis. 

CITY LEDGER 

• Ensure all invoices / statements are issued on a timely basis. 

• Monitor the prompt follow-up of all overdue accounts and minimize the recovery delay. 

• Implement effective inquiry response procedure for guests and management. 

• Ensure all travel agent commissions are timely processed and paid. 

• Report on monthly accounts receivable ageing analysis and detailed accounts’ ledgers. 

• Conduct credit meetings at least once a month. 

• Attend Credit Managers meetings to keep up to date knowledge of credit risks. 

• Appropriately manage all delinquent accounts, liaising with debt collectors where needed. 

• Review and recommend accounts to be written off, providing appropriate documentation. 

GUEST LEDGER and LIAISON with FRONT OFFICE  

• Liaise between the Accounting Department and the Front Office 

• Ensure PX and PM accounts are checked on daily basis and transferred to city ledger within 48hrs from the departure date. 

• Review the Advance Deposit ledger to ensure all the balances are either current or for future date. 

• Inform the Front Office Manager of any deviations from policy by Assistant Managers, or Front Office Cashiers that may come to his/ her attention. 

• Ensure guest refunds are processed in a timely manner as per the hotel policy; with all supporting paperwork and required authorizations. 

GENERAL  

• Supervise daily operations of credit and accounts receivable.

ROLE AND RESPONIBILITIES

• Build solid relationships and give financial support across all departments and to vendors.

What will you do?

This role consists of four main parts: General office support to the lending team, Gathering data from clients required for lending applications, Updating and maintaining loan details in the company’s CRM system, and Refixing existing clients' lending.

Duties and Responsibilities:

• Provide Lending Operations Manager with lending administration support, including:
• Collecting the essential data required for processing lending applications and establishing communication with financial institutions to obtain pertinent loan information.
• Work with the Loans Officer to liaise with clients to confirm suitable loan structures and provide instructions to the banks.
• Check lending documents for details and changes.
• Handling the “fixed term expiry” process.
• Update and maintain loan details in the company’s CRM system. 
• Manage Asana Tasks:
• Follow the processes provided and escalate all instances falling outside the allowed process steps.
• Look for ways to increase efficiency and take ownership of various daily tasks.
• Maintain a high level of accuracy in data capture and use.
• Be proactive in protecting client data and maintaining confidentiality and privacy.\
• Abide by the Code of Professional Conduct for Financial Advice Services.
• Abide by the Code of Conduct.
• Assist with projects as directed.

• 3+ years of administrative work experience.
• Essential requirement: US accent
  
• Background in Accounting and/ or Financial Advisory / Wealth Management a plus.\
• Strong attention to detail / highly organized.
• Strong Written and Oral English + interpersonal skills to communicate effectively.
• Computer/online savvy. Ability to use a variety of online applications including: Zoom, Google Suite and Office 365 tools (including Outlook).
• Experience with Asana (for task management) a plus.
• Ability to problem solve + high ability to “Get Stuff Done”.
• Ability to follow processes.
• Ability to stay up to date with the mortgage/lending market and products.
• Ability to manage time efficiently.

FINANCE

• Monitors, analyzes and reports periodical actual financial performance in comparison to budget submitted to senior management
• Provides financial advisory support on business, brand and financial plans
• Analyzes overall financial results and determines underlying reasons for any deviation which will be raised to functional heads for appropriate action
• Proposes and drives cost saving initiatives to businesses/functions
• Develops financial plans using business valuation tool, for strategic investments/ divestments for management approval
• Establishes financial model with banks, treasury, taxation and controlling in order to ensure optimum cash flow, financing cost and capital employed at competitive rates
• Establishes and oversees maintenance of controls over cash flows and payments authorization to safeguard corporate assets.
• Establishes a system of internal controls and oversees implementation and monitoring
• Oversees and aligns accounting and financial systems
• Drives identification and implementation of revisions / improvements to internal financial systems and procedures
• Oversees coordination and monitoring of compliance implementation and activities
• Assist in the development of systems to provide monitoring and enforcement of policies for all financial activities
• Leads the implementation of financial policies, systems and procedures; facilitate in providing support for financial management oversight, analyze budgets, preparation financial reports, assist in making recommendations to management on budget expenditures and maintenance contract standards
• Establish work priorities and ensure deadlines are met and procedures followed
• Assures protection for the assets of the business through internal control
• Provides financial, fiscal and accounting advice, direction and leadership to senior management
• Ensures compliance with tax regulations and generally accepted accounting practices
• Oversees structuring, drafting, negotiating and closing of commercial transactions
• Ensures support on commercial disputes/litigation management and develops risk mitigation strategies

ACCOUNTING

Leads, direct and final checking on the following:

• Journal Entry
• COGS/Inventory Value
• Inventory balance of distributor
• Sale by Products – Shipments and local
• Budget Control – Analysis and basic reporting
• Statutory ACC – Journal entry/ reporting
• Budgeting & Forecasting System (FUSION)
• Review financial analyses, summaries, management reports and other special reports as required, and submits to RHQ and LTD the reports to wit:
• Accounting Report
• Consolidation Package
• Inventory Information, Balance & Movement
• Sales Report
• Bank Balance information
• Cash Flow Forecast

TEAM MANAGEMENT

• Builds an effective team committed to delivering stretch targets and achieving both short-term and long-term business objectives.
• Provides clarity on the goals and objectives to be achieved by the team.
