• Plan, Organize, and Execute Financial Tasks and Projects: The Finance Manager will be responsible for planning, organizing, and executing various financial tasks and projects that are critical to the company's operational and strategic objectives. Daily Activities:

• Invoicing - Creating and amending client invoices

• Accounts payable - Tracking and posting all vendor bills/invoices and the timely payments of the same as per the due dates of each bill.

Bi-Weekly Activities:

Monthly Activities:

• Bank and credit card reconciliations - Completing reconciliations for all bank and credit card accounts in preparation of hand-off at Back Office Stars.
• Recording accruals - Posting accruals for payroll and contractors to ensure expenses related to revenue earned are properly recorded within their respective months.
• Depreciation postings - Completing monthly entries for depreciation expenses.
• Prepaids - Maintaining a prepaid expenses schedule.

A DAY IN THE LIFE OF

We are seeking an ambitious and driven Assistant Finance Manager whose values align with our TEAM; standing for Together, Extra-mile, Accountable and Mindful. The Assistant Finance Manager works closely with the Regional Head of Finance and the Accountant, as well as the rest of the Finance Team, to ensure the smooth running of the day-to-day financial transactions, such as processing payments, maintaining cost reports and managing invoices. The core focus is to maintain the financial health of the business, ensuring we use our resources beneficially.

ROLE AND RESPONIBILITIES

• Build solid relationships and give financial support across all departments and to vendors.
• General journal entries, cash flow projection, bank reconciliation, bills and payments, and ensuring all data is tracked daily.
• Record accounts payable and accounts receivable and prepare proof of payments and debit note invoices to respective parties on a timely basis.
• Handle a complete set of accounts independently and prepare month-end closing, balance sheets and P&L statements timely and accurately.
• Assist in preparing monthly consolidated accounts, landlord reports, tax computations and filing, year-end audit, and liaising with auditors to collate the requested documentation.
• Perform invoice billing and liaise with the operation team in resolving billing issues.
• Liaise with internal stakeholders to get accurate data on actual costs incurred.
• Monitor cash flow position and forecast with division inputs to provide bi-weekly updates.
• Support monthly payroll and keep organised records.
• Perform daily accounting duties, including financial reporting functions, bookkeeping, transaction reconciliation and identifying discrepancies, budgeting and cash flow, and giving biweekly updates.
• Process invoice billing and follow up operations team with clients, suppliers and partners as needed.
• Proactively identify and resolve accounting and financial errors and suggest process improvements.

What will you do?

To support the CFO to manage all finance functions within the business, with emphasis on AR, AP, payroll, month end and journals. Accuracy of data, timely completion of tasks and attention to detail are key requisites of this role.  

Accounts Receivable

• Process customer invoicing and sending out monthly statements
• Follow up on overdue debts, keeping the CFO informed of any issues
• Receipt of customer payments into the general ledger
• Assist with customer queries into their account.

Accounts Payable

• Enter supplier invoices into the general ledger
• Process payments in the bank accounts for CFO approval
• Reconcile supplier statements with the general ledger
• Liaise with suppliers with any queries that arise

Payroll

• Process monthly payroll in the payroll system for CFO approval and payment
• Add new employees/process staff leaving (resignation or redundancy)
• Process pay changes for employees (eg. Pay increase)
• Assist with staff queries into payroll or leave
• Process monthly payroll journal in the general ledger

General Ledger

• Process all month end journals as agreed with the CFO
• Process all bank account journals per NAB bank statements
• Prepare all balance sheet reconciliations as required
• Review the P&L and Balance Sheet for accuracy
• Maintain fixed asset register
• Assist with any royalty and commission payments required
• Prepare the monthly BAS for CFO review and lodgments

Management Reporting

• Assist the CFO with preparation of management reports, including cash flow forecasts and trade finance positions.
• Assist the CFO with preparation of the annual budget and monthly forecasting
• Support the wider business with relevant reporting requirements
• Provide insightful and timely financial analysis on performance of the business

Systems Development

• Support the CFO through the transition from Navision to Odoo
