As a member of our Offering & Client Administration team, you are supporting the Offering Managers in the overall Offering process and Account Managers in the overall Service Clients SaaS/BPaaS governance. 

Your key tasks 

• Produce offering status reports and needed statistics
• Support Offering Managers in getting needed information for producing offers
• Chasing internal stakeholders for feedback and update status of pending opportunities
• Support regularly monitoring of Client's variable volumes and proactively inform Account Managers in case of significant deviations from baselines
• Support offer process in terms of quality checks and support internal offer signatures process (Avaloq Business authorities)  
• Update Client governance in intranet and CRM involve correct stakeholders to get updates   
• Manage day-to-day operative tasks

The Office & Administration Manager will be responsible in providing support to the Center’s daily office operations, ensuring the smooth running of the office environment, managing administrative tasks, and supporting the needs of various departments as needed. The Office & Administration Manager will also aide in effectively managing and developing the Executive Support and Administration group to provide efficient, high-quality, administrative support to the Global leadership team. This position requires a high level of stakeholder management, organizational and communication skills as well as tact, integrity, professionalism, resourcefulness, ability to prioritize and multi-task, excellent communication skills and the highest degree of confidentiality.

Responsibilities and Duties:

• Managing day-to-day administrative tasks such as mail distribution, office supplies procurement, equipment maintenance, and office layout management.
• Overseeing the maintenance, security, and functionality of office facilities including managing leases, coordinating office space allocation, and ensuring a safe and productive work environment.
• Liaising with vendors and service providers for various office needs, including cleaning services, maintenance contractors, office supplies vendors, and equipment suppliers; Managing relationships with external service providers or vendors that support shared service center operations, such as software vendors or outsourcing partners.
• Managing the site's (facility/administration related) budget, expenses, and financial performance. This includes forecasting, budgeting, cost control, and ensuring that financial targets are met.
• Ensuring that the site operates in compliance with all health, safety, and environmental regulations and standards. This includes implementing safety protocols, conducting risk assessments, and promoting a culture of safety among employees.
• Provide support in organizing company events, meetings, and conferences including coordinating logistics, arranging catering, managing invitations, and overseeing event setup and cleanup.
• Managing office records, files, and documentation. Implementing systems for document storage, retrieval, and organization to ensure efficient information management.
• Overseeing IT-related tasks such as equipment setup, software installations, troubleshooting technical issues, and coordinating with IT support services. This includes ensuring that technology systems are maintained and upgraded as needed to support operations effectively. (working with Infosys and Local IT Specialist).

• Identifying and mitigating risks that may impact the site's operations or business continuity. This includes developing contingency plans, disaster recovery strategies, and crisis management protocols.
• Providing leadership support to the Executive Support and Administration team by aiding in creating, maintaining and executing policies and procedures aligned to running smooth stakeholder support operation.
• Will work with the senior manager and the team leaders to plan and execute strategy, expansion of scope and growing the support functions, portfolio and the number of executives being supported.
• Responsible for hiring staff and working closely with the transitions team for new roles and requirements.

The Delivery Leader – People & Culture Administration is responsible for overseeing team performance of all administrative functions within the People and Culture (P&C) department. This role involves ensuring the efficient and compliant delivery of P&C administrative services, managing a team of P&C administrators and contributing to the overall success of the People & Culture department. The Delivery Lead plays a critical role in maintaining accurate records, supporting compliance and enabling the P&C Team to focus on strategic initiatives.

Duties and Responsibilities:

Team Management & Leadership:

• Manage and oversee P&C administrative functions, including but not limited to onboarding, offboarding, record keeping and compliance with P&C policies and regulations.
• Lead, mentor and train HR Administrators.
• Ensure team members are well-equipped to handle their responsibilities efficiently.
• Set goals and performance expectations for the team.
• Continuously evaluate and improve P&C administrative process to enhance efficiency and accuracy.
• Implement best practices and automation where applicable.
• Generate P&C Administrative reports and metrics to track KPIs (key performance indicators) and support decision making.
• Collaborate with other Corporate Services functions and departments to ensure seamless services delivery.

Operational Excellence:

The Sr Analyst, People Analytics will act as an internal consultant to HR Leadership, HR Business Partners, Business leaders, and other key stakeholders regarding the implications of workforce analytics & insights.  The incumbent will build strong internal customer relationships with stakeholders to define and understand strategic objectives and develop meaningful and actionable analytical solutions to drive workforce decisions.

A core purpose of the role is to answer business questions and provide solutions through the use of people data, advanced analytics techniques and tools. The ideal candidate is a person with practical broad-based experience in business analysis.

PURPOSE OF THE JOB

Ensure the administrative part of IKEA Food is well manage in order to reach the Gross Margin, Gross Profit and Operational Profit goals at store level. Support the Regional IKEA Food manager with all the administrative information and report whenever is requested and necessary. The main tasks of this job involve being always up to date on all item & recipe cards, promotional items and Unit cost in MVBC (in all stores in SEA), in order to secure the best possible financial result for your region. Submitting monthly reports to Regional IKEA Food manager on Sales Analysis of all SEA stores IKEA Food from MVBC.

RESPONSIBILITIES OF THE JOB

• All sold goods have a correct recipe card in MVBC in order to secure an accurate theoretical result. • Ensuring that all Item/Ingredient cards have the correct unit costs, Unit of Measurement, Purchase unit and Vendor. • Coordinate with IKEA Food Development manager on the approved quotations from suppliers before input it into MVBC • Work closely with SEA stores Admin Assistant to ensure 4-eyes principle on all the Item, Recipe, Promotion cards created. • Cooperate with country Business Analyst to secure the correct setup of local articles, promotions and combos, prices etc. • Ensure that GM forms are submitted and approved by IKEA Food Country manager before input into MVBC. • Support Regional IKEA Food manager on all administrative matters. • Check all Item and Recipe cards twice a year, and to “Disable” those cards that are not in use. • Generate monthly reports from MVBC for all SEA stores relating to IKEA Food. • Working closely with IKEA Food Development managers and ensure that Vendors without Agreement are “Blocked” in MVBC. • Through your everyday work you contribute to a people and planet positive business, social connection and environmental impact.
