Your day-to-day responsibilities will include:

.General Administration

• Manages and maintains comprehensive administrative filing system including archival and storage inventories.
• Manages administration for third-party services and timely compliance to local and government requirements.
• Assists in coordinating special events such Townhall Meeting, Employee Service Awards, Annual Dinner, etc.
• Undertakes other duties and exercise flexibility and undertake additional duties from time to time as assigned and agreed by line manager
• Assists in formation and review of human resource and employment strategies and policies
• Supports implementation of HR Strategy with a particular focus on supporting to achieve company targets
• Supports in the development and management of HR information systems and reporting mechanisms
• Attends to Audit requirements of Clients
• Manages recruitment effort for all job positions in the organization; employee orientations; talent management program, employee relations counselling, exit interviews; writes and places advertisements
• Develops and administer various human resources plans and procedures for all company personnel
• Manages & maintains other records, reports, and logs to confirm to EEO regulations
• Develops, recommend, and implement personnel policies and procedures
• Participates in administrative staff meetings and attends other meetings, such a seminars
• Participates in developing department goals, objectives, and systems, and recommends necessary changes
• Recommends new approaches, policies, and procedures to effect continual improvements in efficiency of department and services performed

Recruitment

• Coordinates manpower requisition from the concerned department.
• Coordinates candidate requirement and accordingly drafting a job description and getting it approved from the concerned person.
• Sources candidates that match the desired skills
• Screens candidates by via telephone or personal interviews
• Arranges for technical interview and coordinating with the concerned person.
• Communicates employment status to the applied candidates
• Maintaining and updating the database of the candidates
• Conducts background verification of the shortlisted candidates.

Responsibilities (how we will measure success)

You will be part of the Luxembourg Human Resources team of 8; you will be responsible for a wide and varied range of human resource activities with ownership for day-to-day operations and a lead role in managing employee relations. You have a key part to play in ensuring our people are equipped with best practice to foster a high performance, harmonious culture.

Tasks (what does the role do on a day-to-day basis)

• Provide first line advice to our people on all areas relating to the employment life cycle.
• Act an as escalation point to the HRBP and support with triage of HR queries and questions.
• Managing all the HR Ops processes including “Joiners / Leavers / Movers”, promotion, leaves & absences, ensuring the data quality and systems update.
• Liaise with public administration
• Maintain accurate and up-to-date employee information in HR systems.
• Participate in the implementation of specific projects, procedures, and guidelines to help deliver the HR strategy.
• Contribute to the continuous improvement of the HR function.
• Generate HR reports, metrics, and analytics to support data-driven decision-making.
• Analyse HR data and trends to identify opportunities for process improvements and strategic initiatives.
• Prepare standard and ad-hoc reports for HR and management stakeholders.
• Stay updated on relevant HR laws, regulations, and industry best practices.
• Assist in the development, implementation, and review of HR policies, procedures, and guidelines.
• Support HR audits and ensure compliance with internal and external requirements.

As an HR Specialist, you will be part of a team delivering an excellent HR service to the GCD Philippines Cluster. Within this role you will act as the first port of call to employees for all HR related queries, ensuring the needs of our people are being met.

Tasks (what does the role do on a day-to-day basis)

Payroll

• Prepare payroll instructions to be submitted to the payroll provider
• Calculate pro-rated salary for new hires, resigned employees, and employees on leave
• Ensure payroll computation is accurate including the deductions for statutory contributions, statutory loans, company loans, and HMO, if applicable
• Ensure payroll is released on time
• Calculate final pay of resigned employee and ensure that it is released within the timeline prescribed by law
• Ensure compliance with local payroll, wage, and hours laws, and best practices
• Coordinate with payroll service provider on issues affecting company payroll
• Ensure payroll-related concerns, queries and issues are resolved and responded promptly

Benefits Administration

• Manage timely administration and delivery of the day-to-day Benefits functions both company initiated and statutory
• Prepare funding request to Finance Department
• Prepare and coordinate with government offices on payments and posting of statutory contributions and loans.
• Facilitate company loan application and endorse to Finance and Payroll Teams for processing.
• Liaise with government offices in the submission and completion of employee benefit availment request.
• Prepare computation of Maternity and Sickness benefit as needed.
• Ensure employee benefits-related concerns, queries and issues are resolved and responded promptly.

Vendor Management

• Monitor and track contracts agreement.
• Ensure timely payment of billings and tracking of credit memos if any.
