The Legal Delivery Team is the engine room of DBC Philippines. Providing scalable, quality conveyancing support and services to buyers and sellers across the retail residential market, the Legal Delivery team works across all states in Australia and includes a large team of operational specialists in the Philippines.

Working as part of a team providing service and support to customers who are buying or selling a residential property in Australia by answering their queries, preparing the required documents and completing the generation of the contract draft you will be responsible for:

• Acting as the key customer contact for either the buyer or seller, providing guidance, updates and directions proactively and responsively
• Data entry and drafting the contract according to our standard procedure
• Reviewing, collating and preparing legal documentation with a high attention to detail within fixed external deadlines
• Partnering with Lawyers and other support teams in Australia to escalate complex queries and for final review of customers documentation
• Coordinating with external stakeholders such as banks, local councils or the other parties conveyancer
• Calculating fees, taxes and other financial assessments relevant to property settlement for review

• Provide general legal support to the business operations of the Company, in close collaboration with the global legal team and the business.
• Draft a broad range of customer contracts relevant to the industry and support templates regular reviews.
• Drive standardization and processes optimization.
• Perform analysis on customer contracts for management info and control. 
• Support developing and delivering awareness trainings.
• Maintain documents repository always up-to-date.

The key accountabilities are, but not limited to:

• Drafting and negotiating client / agency agreements, letter of intent, memorandum of understanding, NDAs etc.
• Dispute management and resolution
• Supervising external lawyers on litigation and company secretarial functions
• Corporate secretarial services
• Advising on compliance with advertising standards and regulations
• Advising on copy clearance and general clearance of advertising and promotion materials, social media campaigns and developing guidelines
• Advising on intellectual property rights (IPR), and protection of IPR
• Advising on agreements with artists, freelancers, photographers, animators and other third parties and carrying out negotiations with such third parties
• Reviewing and negotiating media buying agreements and other standard terms and conditions of business
• Advice in relation to licensing of third party information and data systems
• Reviewing and negotiating technology development and digital marketing agreements
• Advising on data protection compliance, data security and standard terms and conditions of website use
• Advising on third party license agreements and content contribution
• Updating all business departments on changes in the law which might impact business
• Advising on employment matters, employment disputes and non-voluntary terminations
• Formulating policies and processes to minimise company’s risk
• Updating of all commercial and employment templates
• Conducting out trainings
• Implementing and carrying out the group’s anti-corruption program
• Ad hoc projects as required

We are seeking a highly motivated individual to contribute their administrative expertise to our thriving law office, or in offices dealing with legal documents such as real estate companies, land title offices, or the court system. These agents handle tasks such as formatting legal correspondence, and/or reviewing and proofreading outgoing documents.

Duties and Responsibilities:

• Assist lawyers with day-to-day administrative tasks to ensure the smooth functioning of the legal office.
• Act as a liaison with clients, witnesses, and other stakeholders, ensuring clear and effective communication.
• Provide administrative support during trials, including the preparation of case briefs and summarizing depositions, interrogatories, and testimony.
• Conduct investigations and perform statistical/documentary research to contribute valuable insights to legal cases.
• Locate and develop case-relevant information, type up and file basic legal documents and correspondence.
• Answer and direct phone calls, maintain contact lists, and monitor deadlines while efficiently managing the calendar.

• A highschool diploma or equivalent.
• Proven working experience as a Admin or Legal Assistant
• Computer literacy, proficiency in English, and working knowledge of case management software.
• Excellent secretarial and organizational skills, with the ability to handle multiple tasks under pressure.
• Ability to work and maintain patience with individuals of diverse backgrounds and professional competencies.
• Committed to maintaining integrity and confidentiality on behalf of the company, the firm, and its clients.
• Willing to work on Pacific Standard Time (PST) schedule.
• Own Laptop or Desktop (8GB RAM, Core i5 or above) with an internet connection of at least 10 Mbps.
