DUTIES AND RESPONSIBILITIES

Functional Support

• Work with end-users to analyze, design, construct, and implement SAP applications in support of regular business operations
• Work as a system analyst with key personnel to help define user needs and design or recommend solutions
• Document applications and provide cross-functional training as needed
• Maintain liaisons with business and 3rd Party consultants and internal IT team for the resolution of SAP issues
• Assist and support in the system roll-out and implementation
• Perform and maintain functional configuration to ensure that the system is working properly
• Works with functional business areas to build Business Cases for system enhancements or improvement
• Develop plans and implement related to SAP improvements
• Responsible for the fulfillment of  Service Request and Incidents in coordination with the subject matter experts and 3rd party consultants
• Troubleshoot incidents and problems encountered by the users and provide recommendations to improve the process
• Prepare appropriate procedures and documentation to hand off support to users

Project Management

• Deliver projects according to approved project management standards to ensure the agreed scope, schedule, budget, and objectives are met
• Prepare and submit regular status reports to relevant stakeholders, indicating tasks completed, risk assessment, issues encountered, and other items requiring management action

The Import-Export Specialist is responsible for managing and monitoring all import and Export shipments.
He/ She is also responsible in making sure of compliance to the Customs rules and regulations, and verifies all required payments related to Food Group Importation & Exportation.
He/ She should also make sure to form relationships in the relevant government departments and shipping lines based out of Manila.

IMPORT:
1. Monitors all imported shipments and update the Shipment monitoring file on time
2. Ensures that the deliveries will arrive on time and will not cause any run-out of the
materials
3. Checks arrival of the vessel with forwarders, brokers, or shipping lines
4. Coordinates with the broker/ trucker on the delivery schedule
5. Coordinates with Pilmico and AEV Treasury for the payment of international trade
transaction and also the BOC duties and taxes
6. Ensures the correct application for Import Permit for all indent items, especially the raw
materials prior vessel departure on the country of origin
7. Provides documents for DA-AFMA, BIR-ATRIG & FDA Certificate application
8. Monitor Applies/ renews accreditation with different government agency
9. Repeatedly updates and coordinates daily with warehouse on the delivery schedule
10. Ensures the renewal for AMO – Importer’s Accreditation on time/ prior expiration
11. Updates daily Shipment Monitoring report
12. Check completeness and correctness of the import shipping documents and their contents (i.e. consignee’s details)
13. Creates a folder for each importation shipment that contains all relevant documents.
14. Ensures that all documents are properly labeled and stored for safekeeping and audit
purposes
15. Gives the scanned copy and original shipping documents to brokers for customs processing
16. Reviews and endorses for approval the estimate computation of duties and taxes sent by brokers
17. Checks and endorses for approval the payment to suppliers based on the commercial
invoice and payment terms
18. Coordinates with broker the customs processing and fast release of imported shipments
19. Coordinates with Procurement for the pickup and arrangement of EXW and FOB shipments of their orders
20. Sends arrival notice to the relevant stakeholders – warehouse & logistics, production, and procurement teams, 1-2 weeks’ prior vessel arrival and updates the same for any possible change of schedule
21. Updates the Estimated Incidental Charges file.
22. Ensures that team leaders are made aware in advance of a potential occurrence of
demurrage or detention event
23. Works with Pilmico teams in the surrounding countries for seamless importation of
materials
TRADING:
24. File and submit pre-importation documents as required by Landbank and NFA
25. Proper documentation and monitoring of contracts, proforma invoices, and shipping
documents
26. Apply SPS import clearance
27. Monitor bookings of the forwarders for FOB shipments
28. Check completeness of shipping documents and consignee’s details
29. Endorse to Landbank the original documents for payment to supplier
30. Monitor ETD and ETA schedule of shipments
31. Apply for Import Permit from NFA once documentary requirements are completed

32. Coordinate with broker for customs processing and release of shipments
33. Submit post-importation documents as required by Landbank and NFA
EXPORT:
34. Receive and save soft copy of Application for Food Export and Commodity Clearance in a flash drive for FDA sent by the Export group
35. Submit the application form at FDA
36. Get the Food Export and Commodity Clearance at FDA three (3) to five (5) days after
submission at FDA
37. Once received, send scanned copy to Export group and the original be sent via courier
38. Payment for the registration of new brands at FDA

1. Provides assistance to QSP Supervisor in ensuring that the Pilmico Food Group guidelines & policies for systems and processes as well as External Interested Parties (e.g. customer and legal requirements) are implemented and up to date.
2. Works with the departments on their analysis and compliance to the established systems and processes, ensuring that overall performance is reported, recorded and monitored.
3. Gives assistance to QSP Supervisor in maintaining that objectives of established systems and processes are aligned to the Context & Strategic direction of the organization through regular monitoring and verification.
4. Collaborates with different departments in the review, implementation and maintenance of the Integrated Management Systems, as applicable.
5. Monitors if the resources needed for the sustained & effective operation of the established food safety and quality systems & processes are provided and made available.
6. Engages and Supports stakeholders to contribute to the effectiveness of the Food Safety and quality systems and processes.
7. Supports Team Leader in promoting improvements of the established Food Safety and Quality systems and processes to other teams.
8. Performs process, food safety and quality audits for various business processes.

10. Conducts training on food safety and quality systems & processes to all relevant stakeholders.
11. Supports Corporate Quality plans on suppliers’ and service providers’ audits.
12. Coordinates with Team Leader to ensure that actual expenses of the department is within the approved annual budget.
13. Participates and contributes to the department’s scheduled operational planning.
14. Provides assistance to QSP Supervisor on the E-docs and i-Care Management.

FOOD SAFETY:

1. Complies with Quality, Halal, health and food safety policy, standards and regulations of the company.
2. 2Responsible for reporting problems related to Halal, food safety & quality management system to identified authorities.

OTHER TASKS:

1. Actively participate in all company programs and activities under quality improvement, safety & security, sustainability, corporate social responsibility, risk management etc.

Risk Finance Management Duties

• Assists the Risk Finance Supervisor in ensuring completeness of the documents and values for insurance renewal submitted at least 30 days prior to expiration of existing policy.
• Coordinates with accounting and other department to determine the updated list of assets with corresponding sum insured values.
• Maintains insurance registry requirement through regular property appraisal and monthly monitoring of acquisition and disposal of assets.
• Liaises and assists internal and external Risk Surveyors, asset valuation surveyors and appraisers.
• Assists the Risk Finance Supervisor in securing proposals from accredited suppliers for insurance coverage in coordination with AEV Risk Finance team.
• Monitors and maintains approved insurance policies are incepted, implemented and paid on a timely manner.
• Monitors and maintains risk engineering survey files to ensure that is updated regularly by the relevant stakeholders.
• Assists the Risk Finance Supervisor on the conduct of insurance briefings to relevant stakeholders at the sites to ensure understanding of the approved insurance policy.
• Assists in securing and maintaining the necessary information for the preparation of risk management reports including but not limited to the following:
  • Status of insurance claims
  • Motor car insurance claims
  • Insurable risk maps
  • Risk engineering progress reports
  • Total cost of insurable risk
• Assists the Risk Finance Supervisor in providing the necessary insurance support, education, and training to the Food Group Management and Staff.
• Keeps abreast with new developments and advances on the enterprise risk management industry practices, quality and environmental management technology through magazines/periodicals, and attendance to relevant seminars and conferences.

Insurance Claims Management Duties

• Coordinates with relevant stakeholders at the sites to ensure that all incidents are reported immediately.
• Monitors and follows up all requirements and information needed to support claims are submitted to the insurance providers within the prescriptive period.
• Monitors and follows up that the claims settlement is collected as soon as claim evaluation is done and finalized according to policy terms and conditions.
• Assists the Risk Finance Supervisor on the consistent implementation of established incident reporting and insurance claims process and methodologies.

Others:

• Actively participate in all company programs and activities under quality improvement, safety & security, sustainability, corporate social responsibility, risk management etc.

The AP Invoice Processor Specialist is responsible for thorough, accurate and timely processing of all invoices and/or employee-related non-payroll payments in accordance with the relevant policies, procedures, guidelines, and service level agreements (SLA) of APSSC. As the process experts/SME, assists AP Operations Supervisor in resolving complex issues and concerns and may be delegated to perform specific supervisory functions from time to time

INVOICE PROCESSING:

• Processes invoices/billing statements, non-payroll related expense reports/cash advances and other payment requests based on policies, procedures, work instructions and agreed SLA
• Records payable entries in the ERP system using correct cost center, GL account charging, & amount computation (i.e. correct application of VAT/withholding tax or prepayment)
• Executes the AP key controls (i.e. 3-way or 2-way matching, invoice workflow approval, validation of expense, etc.) in a thorough manner and secures required approval in writing for any exception/deviation
• Ensures compliance of company expenses to applicable policies and tax requirements (i.e. complete and valid supporting documents, amount limits, etc. )
• Adheres to service level agreements on the accuracy and timeliness of invoice processing and recording of AP entries
• Communicates issues to concerned supplier/employee in a timely manner and logs them in Service Desk system for proper tracking and monitoring of resolution
• Reviews resolution and ensure these are in order before re-processing the invoice/billing/payment request
• Generates payment proposal list and reviews items for payment related to transaction scope on or before agreed cut-off with AP Payment Processing Team
• Analyzes and resolves processing/compliance issues raised during quality reviews or audits and implements mitigating controls/actions to prevent the issues from recurring
• Monitors outstanding open invoices and conducts regular clean-up as needed (at least quarterly)

GENERAL

• Prepares and submits standard or ad hoc reports based on agreed timeline/SLA
• Performs regular coordination meetings with stakeholders to raise and address concerns noted during processing (i.e. Supply Chain, Department SPOC, key suppliers, etc.)
