• Validates monthly, quarterly, and annual billings of all office services and maintenance against the confirmed commercial rates, order forms, proposals, and quotes.

• Ensure that the policies in place are being implemented and adhered to, whilst also updated as business priorities and legislation changes

• Oversee contracts that Admin & Facilities are involved with, understand the advantages and pitfalls of contract and be familiar with contract details. 

• Liaising with technical personnel, financial team, legal compliance, data privacy officer, information security team, and vendor/service provider’s representatives in discussing, reviewing, and negotiating the terms of the contract. 

• Build and maintain relationships with vendors

• Shuttle service of employees for the purposes of such as but not limited to vaccination program, modern workplace migration initiatives, visa visit for secondees, company events, etc. 

• Guests' accommodations and airport transfers 

• Inbound logistics for returning secondees only if necessary  

1. VENDOR MANAGEMENT 

• Manage the following inbound, outbound, and reverse logistics: 

• Maintains and updates vendor database that consist of suppliers/service provider’s contact details and information 

• Keeps and manage the due diligence and compliance documents of transacted vendors 

• Manage onboarding of new suppliers/vendors that Admin & Facilities are involved with.  

• Maintain good relationship with the vendors 

• Manage performance review of the active vendors that are involved in Admin & Facilities transactions and activities such as but not limited to Security, Housekeeping, IT resources, other applicable distributors/resellers, etc. 

• Ensure compliance with the terms and conditions of the active binding contracts 

• Monitors and reminds the service provider on their late billings 

• Liaising with Finance team to ensure on time payment 

8. INFORMATION MANAGEMENT

• Provide technical assistance and troubleshooting for hardware, software, and network-related issues.

Your responsibilities will be, but not limited to:

• Leads and oversees the group monthly close and global consolidation of actuals, ensuring complete and accurate financial in accordance with International Financial Reporting Standards (IFRS). 
• Manages and reviews close activities including journal entries and account reconciliation.

ABOUT THE ROLE 

We are seeking an Accounts Receivable/Payroll Officer to join a close-knit finance team in Australia. Your responsibilities will include ensuring the timely scheduling and collection of payments, maintaining precise records, and ensuring employees are accurately paid on a weekly basis.  RESPONSIBILITIES 

ACCOUNTS RECEIVABLES 

• Coordinate the credit application and Personal Property Securities Register (PPSR) registration process with the builders. 
• Liaise with builders regarding the credit limit approved and secure any deposits required. 
• Maintain and manage accounts receivable records, ensuring the claim structure is established and monitored regularly. 
• Monitor and regularly follow up with the customers to gain commitment on upcoming payments, pre-payments, and outstanding payments. 
• Calculate the work-in-progress values and reconcile accounts to ensure accuracy. 
• Process payments and adjustments accurately and investigate and resolve any discrepancies. 
• Coordinate the debt collection process, including issuing adjudication applications. 

• Support process improvements within the AR function.

PAYROLL 

• Complete end-to-end processing of weekly payroll for 50 people, including setting up individual records, checking and inputting timesheets, leave entitlements, overtime, time in lieu, reimbursements, allowances, terminations, and other related details. 
• Prepare reconciliations and other reports for STP, employee deductions, government agencies and internal stakeholders. 
• Managing timely payments of PAYG, superannuation and child support in line with regulatory deadlines. 
• Investigate and resolve payroll queries and discrepancies. 
• Ensure compliance with federal and state payroll regulations. 
• Distribute payslips to all employees on time. 
• Perform ad-hoc requests as needed to support the payroll function and broader HR objectives. 
• Assist in auditing processes as required. 

• Bachelor’s degree in Finance, Accounting or similar. 
• At least five (5) years in a similar role, preferably with an Australian small to mid-size company. 
• Knowledge of payroll regulations and tax compliance in Australia is preferred but not mandatory. 
• Knowledge of the construction industry is an advantage. 
• Proficiency in accounting software and payroll systems, preferably with Xero. 
• Strong attention to detail and exceptional analytical and problem-solving abilities. 
• Excellent organisational skills with the ability to prioritise tasks, work on multiple assignments, and manage time effectively.
