About the company:

The client is a family-owned e-commerce business selling metal pill cases. The business was started in December 2021 and has been run by two brothers since then from Washington, DC.

Our mission is to make exceptional pill cases and provide exceptional customer service. We have committed to these principles by keeping our fulfillment operation in-house and providing white-glove service to our customers.

After 2 years - we are now selling several thousand pill cases per month and looking to expand our Philippines-based team beyond customer service.

The Finance portion of this role (75%) will involve bookkeeping, accounting, financial reporting, and inventory planning. The Operations portion of this role (25%) will involve inventory purchasing and inventory management assisting the US-based team. 

Key Responsibilities:

The primary definition of this role is that you will be doing whatever the business needs most related to Operations and Finance. We are a startup and it is an all-hands-on-deck mentality. The tasks below are examples of the work that you will be expected to know already or learn very quickly.

You should be self-motivated and looking to work hard - as you will be expected to work hard, contribute, and execute without supervision to help the whole team. 

You should be very organized and detail-oriented.

Finance / Accounting (75%)

• Review transactions in Quickbooks, categorize them
• build rules to auto-categorize them to increase role efficiency 
• Quickbooks is expected to be fully up to date on a 1-day lag / daily basis
• Keep financial models, budgets and projections up to date
• Accessing sensitive financial data, reporting directly to CEO with daily business financial health reports

Operations (25%)

• Take current inventory numbers from Shopify, and update them in Quickbooks
• Take inventory delivery schedules and use it to update our payment schedules to suppliers

• Work closely and collaborate with key Finance and Accounting stakeholders, Procurement, IT, and third-party consulting resources across various locations and drives overall governance for Accounts Payable and Travel & Expense.
• Identify, recommend, champion, and execute opportunities to enhance existing Source to Pay processes taking into consideration the requirements of the overall Finance organization.
• Build a strong team focusing around customer service, accuracy, continuous improvement, on-time payments, and personal development of team members
• Select and hire employees for AP team; on-board new members; set objectives for the team and evaluate their performance; organize regular job-related training for the team as well as other staff management duties
• Manage the workload of individual team members
• Ensure robust back-up system within function to ensure business continuity.

Bar Manager

What you will be doing:

• Works in close cooperation with all other staff assigned to the outlet, as well as Kitchen Stewarding and Cashiers.
• Works as per the outlets duty schedule and shifts.
• Observes and corrects pouring practice of all bar staff to avoid excess wastage.
• Ensures that orders are only issued against written / printed receipts.
• Ensures own appearance (condition of uniforms) and grooming of all bar staff is impeccable.
• Welcome arriving guest and ensures prompt service.
• Extend prompt services to all guests.
• Ensures the well-being of all guests by maintaining a close professional, friendly, yet discrete relationship.
• Maintains cleanliness and best possible maintenance of the bar counter and all related areas.
• Handles guest complaints directly or refers them to the assistant Manager or the Bar Manager.
• Attends all meetings or briefings to maintain an open communication within the team.
• Knows the bar menu and price structure by heart and can recommend when a guest asks for assistance.
• Flexible to work in other areas when required by the immediate Supervisor.
• Aware of basic cashier work and handles payments promptly and efficiently.
• Familiar with the company’s internal policies and safety procedures.
• To have a complete understanding of and to adhere to Swissotel Al Murooj policy relating to Fire, Hygiene, Health and Safety.
• Be familiar with all related company documentation and especially with the relevant Operational Standards Manual for the department.
• To carry out any other reasonable duties and responsibilities as assigned.
