The Database Administrator (DBA) will be responsible for the administration, documentation, performance, tuning, design, integrity and security of the enterprise’ production databases (mainly SQL), data transfers, and systems. In addition to traditional DBA maintenance, this role is expected to support DBA improvements and plan for the future, including incorporating best practices, emerging techniques and tools, etc.

Additionally, the DBA will assist the Infrastructure & Operation teams with planning, developing and troubleshooting of applications.

This role will need flexible work shift options to support teams in US, Bermuda, and Europe.

Work hours for this role are Tuesdays to Saturday US Eastern Time (Philippines Night Shift)

• Performance tuning of production databases, as well as the development, implementation, deployments, migrations, and upgrades of databases.
• Database development (e.g. Microsoft SQL Server Database), data analytics, and data visualization tools (e.g. Microsoft Power BI, Snowflake).
• Analyzes and resolves end user software application incidents and/or problems as it relates to the enterprise databases, in a timely and accurate manner.
• Escalates incidents and/ or problems to other teams as needed.
• Perform maintenance or project tasks as required and scheduled to maintain databases.
• Deployments of Database Scripts, Jobs, Schema Changes, compliance changes.
• Responsible for data load/refresh of UAT and Dev environments.

• Determine changes in physical database by studying project requirements, identifying database characteristics, such as location, amount of space, and access method.

• Provide guidance in the creation and modification of standards and procedures. 
• Perform the integration of system and software as required.  
• Ensure backups and technical patching are successfully completed, and resolve issues if required.
• Document tasks/activities within the ITSM (i.e. Service Now, JIRA) system to ensure conformance with IT, SDLC, and security standards and requirements.

The role is responsible for facilitating the review of AECOM’s Safety, Health & Environment (SH&E) Department and the prequalification of its Third Parties.  This role will work with the dynamic team of SH&E Directors, Managers, and Specialists as well as other members of the Third-Party Risk Management (TPRM) team in our Manila Service Center in supporting AECOM’s Design and consulting Services operations throughout the United States, Canada, and Latin America.

• Conduct thorough prequalification assessments of potential Third Parties to certify/assess compliance with AECOM policies and protocols as well as State and Federal regulatory SH&E standards.
• Collaborate with the SH&E department to update and maintain prequalification criteria and evaluation processes.
• Review Third Parties' SH&E policies, procedures, certifications, and records to ensure that they meet AECOM’s stringent requirements.
• Coordinate with legal and compliance teams as necessary to ensure all SH&E-related matters are addressed
• Liaise with external Third Parties to ensure any additional information required to meet AECOM’s standards are made available for validation
• Maintain records in Coupa of prequalified Third Parties and their compliance statuses.
• Maintain the SOP/DTP of current processes and incorporate documentation updates as required.
• Provide training and support to Third Parties to help them meet required SH&E standards.
• Develop and implement continuous improvement initiatives for third-party prequalification processes.
• Prepare reports and present findings on third-party SH&E compliance to management.
• Liaise with project managers and other stakeholders to facilitate understanding and implementation of SH&E requirements in subcontracting practices.
• Escalate issues and recommend resolutions to the Team Lead for timely support; propose alternatives to identified issues and assist in investigating and in resolving common and unusual issues.
• Ensure compliance with service level agreement, process, policies, and procedures.

The role is responsible for Subcontract Administration as part of the Source-to-Pay Team in Manila. 

• Prepare, review, verify, approve, and execute subcontracts under direct supervision.
• Issue Purchase Orders and Change Orders
• Maintain subcontract and procurement documentation.
• Follow and enforce procurement related policies and procedures; maintain the SOP/DTP of current processes and incorporate documentation updates as required.
• Understand subcontracting terminology for application in day-to-day tasks.
• Assist Project Managers/project team in preparation of Purchase Requisitions (Subcontract Admin Form)
• Escalate and analyze identified issues and concerns to the Team Lead for timely resolution.
• Perform simple but varied tasks in compliance with service level agreement, process, policies, and procedures.
• Assess identified issues and collate documentation to assist in investigating and in resolving common and recurring issues. 
• Support selected simple process improvement initiatives to streamline processes. 
   

Responsibilities:

• Work with ERP Team in resolving NetSuite requests and issues in a timely manner.
• Troubleshoot issues and provide on-going support to optimize user adoption and NetSuite configuration.
• Identify business requirements, functional design, prototyping in sandbox, process design (including scenario design, flow mapping), testing, training, defining support for the NetSuite system.
• Provide NetSuite consulting expertise utilizing industry experience, business analysis, best practices and logic to facilitate requirements.
• Build, develop and test detailed functional designs for business solution components and prototypes.
• Support other departments as required.
• Undertake any additional reasonable tasks as deemed necessary.

Location: Trucell IT Services, Parramatta NSW (Note: The position is remote, targeting candidates in the Philippines who can work Sydney NSW Australia time)

Key Responsibilities:

• Manage, maintain, and troubleshoot Windows Server and Windows Desktop environments.
• Provide efficient and quality IT support to our clients, ensuring minimal downtime and seamless operation.

What an Office Administrator does at Visa:

As an Office Administrator based in Manila, Philippines, you will act as a liaison between different teams to coordinate and provide on the ground execution across a spectrum of activities.

Receptionist & Office Management:

• Manage phone calls and correspondence courier/delivery (e-mail, letters, packages etc.) including custom clearance.
• Ensure cleanliness and upkeep of office premises and meeting rooms. Supervise and provide guidance to the tea-lady
• Manage meeting rooms booking and arrange for refreshments and other logistics.
• Order pantry supplies and other office administrative functions.
• Deal with the landlord and vendor/supplier regarding Manila office operations
• Ensure all visitors are registered properly at the visitor management system in compliance with policies
• Security passes management for guest and workers related to all kinds of parcel/documents delivery/pick up, parking/access for employee, work permit for worker…
• Daily monitoring of IT system (server, UPS & router) and Surveillance recordings located in the server room are in working conditions and submit report as requested.
• Be and act as the Primary contact in Manila for Global Security and Safety, network and other services maintenance. Provide necessary support to the required maintenance related to Access control system, Surveillance, Server room, Network (International and Local)
• Ensure all the equipment in the office operated and maintained in a good condition. Including connect with the services provider (VNPT, Viettel, Singtel…) and attend the engineers to all the checking/fixing issues.

Accounting and Finance:

• Manage T&E expenses report for Country Manager

• Manage monthly local office’s payment invoices with coding, approvals and work with AP Account Payable for Manila office
• Assist AP Accounts Payable in obtaining and providing the necessary documents for country office’s payment.

Local Sourcing, T&E and Compliance Partner Relations:

• Manage procurement for Operations in Oracle such as Purchase Requisition, Purchase Order…, supplier setup, due diligence process, vendor contracts… for Manila office (Cleaning services, planting, watering, stationery)
• Manage correspondences and other processes for SOEs/CGOs invitation and obtain CM’s signature
• Handle Global Security and Safety for Manila Office (visitor log-book, ID badge, LAN room access, security…)
• Handle Business Continuity Management (BCM) for Manila Office: BCM Planning, BCM Strategy, BCM Staff Awareness, Tests…
• Handle T&E: Corporate card and Purchasing card, Payable Auditors to iExpense Reports (Log book)

Government-Related and PR Duties:

• Assist with correspondence matters (signature/ e-signature…) related to Government
• Assist HO team in arranging logistic for representative of local authorities (i.e. Payment Bureau, Police Department, Ministry of Tourism…) attending overseas study tours, workshops, Visa forums…
• Support with logistics for local authorities and guest who are invited to Visa events (invitation letter, entry visa, travel arrangements, travel expense reimbursement…)
• Prepare and translate letter for Visa’s and local authorities meetings (if required) in coordination with Office Manager

Corporate Events & Merchandise inventory

• Support Office Manager in organizing Visa internal & external events (venue, outsourced agencies, hotel arrangements, attendees list, invitation letters, RSVP, materials, agenda, entertainment…) and related reports.
• Keep stocks as merchandise inventory and office equipment are logged correctly and place orders when necessary.

HR Duties:

• Assist Office Manager in arranging Annual Compliance, T&E, Procurement Training for local office
• Assist Office Manager in taking care of on-boarding and departure processes for Visa employees: laptop, ID badge, phone, name, insurance, annual health check…
• Assist Office Manager in compile country Public Holiday for HR update and other items
• Support HR in team calendar scheduling for required meeting for HR and other functions

Operations Coordinator:

• Handle Withholding tax filing for client banks in Manila
• Manage supplier in Manila (Onboarding….)
• Obtain all necessary approval on biz gifts, flowers...that need to be arranged for clients events in Manila in compliant with Visa policy.

CM Support:

• Support CM with daily calendar, keep Country Manager’s calendar up-to-dated (internal and external meeting appointment)
• Manage travel arrangement for CM and keep it updated in outlook.
• Manage expense report for CM and RO (Purchasing card) is submitted and approved in a timely manner.

Sales Support:

• Provide day-to-day Visa business support and administration – deal execution, Docu-sign and ensure compliance for Sales Team. 
• Provide support and help in the development and execution of sales initiatives settlement as required by team members and clients.
