• Conducts negotiations with suppliers and contractors to obtain the best possible price.
• Coordinates with the requesting department all product specifications, lead time and other details pertaining to the requested product.
• Ensures quotation and supplier accreditation files are complete and accurate and all food deliveries are compliant with the food safety standards of the Hotel.

• Negotiates with suppliers and ensures items are ordered and approved within the specified cut-off.
• Coordinates with the requestor’s correct product specifications to ensure orders are correct and follow-up deliveries from suppliers to ensure timely deliveries of orders.
• Continuous product sourcing to find alternative items and supplier development to obtain several sources.

• Review purchase requisitions considering issues such as lead times, standardization, quantity discounts, and purchasing budgets
• Assist any Department in the hotel in formulating their material requirements and to use competitive bidding or other approved procedures to obtain the best price
• Ensure the timely preparation of purchase orders so that all approved purchase requests can be ordered and the goods delivered by the suppliers on the date need
• Keep track of all outstanding purchase orders to ensure that goods are delivered on time

About the job

Reporting to the Goods Flow Team Manager, this ASSOCIATE role is responsible for providing assistance in the completion of the Logistics process in the easiest and safest way possible. He/She develops and uses his/her knowledge and experience of IKEA operations, including IKEA machinery and equipment, as well as the expertise of his/her co-workers within the team to achieve the highest level of availability of products in the store.

Your assignment

• You perform effectively the Goods Flow operation tasks in your assigned area, using the available IKEA systems and equipment to achieve an efficient goods flow process and data integrity, in order to maximize stock accuracy and ensure the highest product availability for customers;
• You contribute to an optimized daily goods flow operation within the assigned goods flow processes by working in a lean, simple, and cost-conscious way;
• You contribute to the agreed goals of the Goods Flow Team, as well as being involved in the goal-setting process of your team;
• You comply with IKEA health, safety, and security guidelines, rules and regulations, and support colleagues in preventing untoward health, safety, and/or security-related incidents in the store.

In this role, you will play a vital part in supporting our procurement and accounts payable processes, ensuring efficiency, cost-effectiveness, and timely payments.

This is a full-time role, Monday to Friday, Dayshift. 

This is an office-based position in central Cebu City. 

The expected start date is February/March 2024.

ABOUT THE ROLE

We are looking for a Procurement and AP Assistant to provide back-office financial and accounting services for our Australian Client. This role’s focus is to support the finance leadership to deliver accurate and timely financial results to the client’s internal and external customers.

This is a full-time, permanent, day-shift, office-based in Cebu City.

Responsibilities:

• Process vendor invoices, reconciling purchase orders, delivery receipts, and invoices with a focus on accuracy and timeliness.
• Maintain vendor accounts, track payments, and resolve discrepancies.
• Collaborate with the procurement/purchasing and finance teams to ensure smooth and efficient payment processing.
• Perform monthly reconciliations of accounts payable, identifying and addressing any discrepancies.
• Assist in the development and implementation of accounts payable policies and procedures.

• 2-3 years of experience in Finance/Accounting functions.
• Intermediate to advanced Excel skills experience required.
• Procurement, AR, AP experience required.
• A team player with the ability to self-manage and meet deadlines.
• Maintain confidentiality in all transactions.
• Excellent attention to detail and accuracy
• Good written and oral communication skills.
• Able to resolve concerns and be proactive in resolving matters.
