Job Objective:

The Warehouse and Logistics Specialist is responsible for overseeing and optimizing warehouse operations and logistics operations.  

The position is responsible for supervising the receiving, warehousing, distribution, and managing all inventory related functions including inventory accuracy and data integrity of all the monitoring files ensuring all deliverables are met within the expected time.  

The position is responsible for the efficient delivery of products to end customers ensuring least costs and on time and in full deliveries to customers and sales clusters (drop off points) / satellite warehouses.

Key Duties & Responsibilities:

Inbound: 

• Issues ASN (Advance Shipping Notice) report for every inbound delivery 
• Issues ATW (Authority to withdraw) to shipping line for containers intended for BASCo
• Coordinates with Procurement team for all deliveries from merchants 
• Updates the KIU system
• Oversee the unloading in every delivery 

Outbound: 

• Reviews and approves booking from Sales Team 
• Performs systems transactions and ensures availability & completeness of documents required in the dispatch of goods 

System Management- manages the following reports; 

• Delivery Confirmation (outbound)
• PO Receiving (inbound)
• Product Master Data
• Misc Issuance / Receipts (Inventory Adjustments)

Inventory and Planning Management: 

• Oversee inventory and replenish additional stocks when needed
• Manages stocks inventory in remote CY. 
• Lead monthly inventory count 
• Maintains count accuracy (systems vs. physical)
• Manages stocks monthly recon 
• Provides inventory control reports as required

Billing and Endorsement: 

• Review and endorse billings coming from supplier 
• Provides monthly accruals report 

Other Tasks:

• Provides monthly KPI report 
• Act as a point person for BASCo warehouse, supervise 3rd party personnel, oversee inventory movement as well as the personnel assigned, ensuring daily inventory and other related instructions are being attended
• Maintains cleanliness and orderliness of warehouse facilities to ensure the proper housekeeping and safekeeping of finished goods in compliance to safety and food industry standards set by the GWP, HACCP & GMP programs
• Provide immediate feedback on complaints related item and quantity discrepancies
• Actively participate in all company programs and activities under quality improvement, safety & security, sustainability, corporate social responsibility,  risk management etc;
• Performs other tasks related to the job as may be assigned by the immediate superior

The Purchasing Specialist is responsible for carrying out the daily purchasing processes for Abbott Rapid Dx North America or Abbott Rapid Dx , LLC, ensuring the timely and efficient procurement of company materials and services. The purchasing team is key to ensuring continued supply of our products, relationship management with our vendors and that all processes and objectives are implemented efficiently and timely and support the overall GBS vision.

Duties and Responsibilities

• Advance perform the daily purchasing processes for stocked items (with an MRP evaluation as needed), nonstocked items, capital equipment and services

• Review and maintain purchasing contingencies to ensure continued supply of product

• Ensure contractual obligations are implemented, maintained and compliant

• Participate in daily team meetings to address open tasks, issues and projects and ensure actions are being taken to ensure KPIs are met

• Maintenance of the shared purchasing mailbox, shared web portal for communicating with off-site warehouses.

• Manages incoming urgent requests, work with warehouse, sales, marketing, transport, Masterdata, planning, finance and customer service.

• Establish and maintain strong relationships and work effectively with internal and external customers

• Contribute to the Customer Experience ensuring delivery of acceptable quality goods and services on-time

• Resolve disputes or complaints between requestors and vendors

• Represent Purchasing in all product launch initiatives

• Record and manage actions in relation to supplier incidents

• Participate in quarterly supplier reviews and ensure corrective actions are implemented

• Participate in Projects in the area of the responsibility such as process improvement and implementation

• Produce daily and monthly reports/metrics

• Comply with applicable antitrust and other purchasing-related laws and regulations including Federal Acquisition Regulations for government contracts.

• Communicate the importance of the Quality System to all employees and report on its effectiveness

• Execute applicable Quality System processes

• Other duties as assigned by the immediate superior Abbott Rapid Dx Global Business Services (GBS) Manila

Minimum Qualifications

• Must have experience working with SAP or other ERP/MRP system

Education and Experience

• Bachelor’s Degree (Supply Chain, Business, Finance, Industrial Engineer is preferred) or 3-5 years relevant experience in a purchasing organization required

• Experience with Lean, Six Sigma or Business Management concepts preferred • Certification from APICS or equivalent preferred

RESPONSIBILITIES
 

• Obtain and track quotes for hardware and software renewals. 
• Obtain and track quotes for warranty renewals. 
• Obtain and track quotes for small item renewals, including certificates, keyboards, laptops, servers, and miscellaneous items. 
• Manage stock on hand, ensuring accurate inventory levels and efficient replenishment. 
• Maintain and manage receivables, ensuring timely payment from clients and resolving any billing issues. 
• Coordinate and manage deliveries and shipping logistics. 
• Efficiently manage purchase orders and sales orders, ensuring accuracy and timely processing. 
• Provide general administrative support to the procurement department. 
• Ensure the customer relationship management (CRM) system is kept up to date with relevant information. 
• Manage internal stock levels and process orders as needed. 
• Update and maintain wikis and other knowledge management platforms. 
• Generate and analyze backorder reports, taking appropriate actions to resolve any issues.

The Contract Manager will be joining the Procurement Operations team under the centralized Vendor Management function that ensures Avaloq has the necessary externally provided services to succeed in our client engagements. The Procurement Operations team consists of diverse professionals with responsibilities in contracting, procure-to-pay, and system/tool administration.

This role will work closely with legal, other teams from Vendor Management, and global stakeholders including project managers and PMOs to ensure that contracts and documents are aligned in compliance to recent processes and policy.  A core result of this position is to gain an understanding of Avaloq’s contracting process, with the goal of developing into a procurement operation professional who can manage contracts and external resource-related processes efficiently and be able to support the team confidently.

Your key tasks

• Create contracts and other necessary document for external resources in coordination with stakeholders from Region Europe, Business Area Banking Operations, and other areas as needed.
• Take end-to-end responsibility for the onboarding, extension, and leaves of external resources in the system.
• Build a good relationship with suppliers and serve as point of contact for matters concerning contracts in responsible areas.
• Maintain files for correspondence and documentation in relation to established contracts and those in progress. Ensuring that it is accurate, up-to-date, and easily accessible.
• Monitor contracts and proper managing of dismissal, extensions, or renewal.
• Ensure that suppliers receive contracts and purchase order documents in a timely and accurate manner.
• Assist with process improvements and testing of new systems.
• Provide administrative support to line manager.
