Key Responsibilities:

Talent and Vendor Sourcing

• Identify and source qualified IT professionals, technologies, and vendors for organizational projects and initiatives.

Supplier and Stakeholder Management

Qualifications and Skills:

• Education: Bachelor’s degree in Information Technology, Business Administration, Human Resources, or a related field.
• Experience:

• Familiarity with IT project needs, staffing solutions, and vendor management processes.
• Technical Skills:
• Strong understanding of IT roles, technologies, and market trends.

We are seeking an organized and detail-oriented Project Planner/Scheduler to manage project timelines, schedules, and resource allocation. The role will focus on creating and maintaining project schedules, ensuring that milestones are met on time and within scope. You will work closely with project managers, teams, and stakeholders to track project progress and adjust plans as necessary to ensure successful project delivery.

Key Responsibilities:

Schedule Development and Management

• Develop, maintain, and update detailed project schedules, including setting project milestones and deadlines.
• Coordinate with project managers to ensure that project schedules are accurate, realistic, and aligned with project goals.
• Monitor project progress, adjusting schedules as needed to ensure timely completion of deliverables.
• Identify any potential scheduling conflicts or resource constraints and proactively recommend adjustments.

Resource Allocation and Coordination

• Work with project teams to allocate resources efficiently, ensuring the right people and tools are available when needed.
• Monitor and manage resource utilization across multiple projects to ensure optimal use of resources.

Progress Tracking and Reporting

Qualifications and Skills:

• Experience with project scheduling tools (e.g., Primavera P6, MS Project, or similar tools).
• Previous experience working on large-scale or complex projects is a plus.
• Technical Skills:
• In-depth knowledge of project scheduling principles and techniques.

• Strong proficiency in Microsoft Excel and other reporting tools.

• Ensures that all necessary information and documents concerning outbound cargoes through the agents, internal / external customer are promptly and accurately disseminated to concerned parties.
• Handles inquires on the departure of vessels with various shipping lines and co-loaders
• In charge of weekly reservation and booking with shipping lines, upon receipt of Job Order from OD
• Prepare TOR for ODS TOM creation ( if required)
• Ensures shipment ID are available in CW1 before vessel’s departure.
• Prepares final proforma Bill of lading for submission to shipping lines and co-loaders on or before vessel’s departure.
• Proofreads or checks if there are data discrepancies between House and Master Bills of Lading
• On-time filling of Manifest ( ACI / AMS / AFR)
• Amends bill of lading of shipping line, co-loaders and agents concerned prior vessel’s arrival at destination
• Sends pre-alert and/or shipping documents to destination office via e-mail or courier service (if required)
• Coordinates trucking and/or brokerage requirement of shipment, if required
• Ensure on time, complete and accurate turnover of documentation, rates (selling & cost) to designated biller. 
• Prepares request for check/payment for freight and other related bills.
• Assists client on their booking requirements and other inquiries related to export shipments.
• Make sure that Official Receipts are uploaded on time
• Ensure to meet the KPI KRA (Productivity, Accuracy, Events Data Quality , speed of invoicing)
• Performs other functions that may be assigned from time to time

Qualification and Experience

• Must possess at least Bachelor Degree in Customs Admin, Logistics/Transportation or equivalent
• Has minimum of three (3) years working experience on Freight Forwarding/Logistics Industry
• Knowledgable in Customs, E2M, manifest preparation
• Possesses strong communication abilities.
• Skilled in using Microsoft Office applications such as Excel
• Availability to work extended hours, if needed.

Main Duties and Responsibilities

• Manifest Submission.
• Ensure all necessary information and documents concerning inbound charges are accurately disseminated to concern parties.
• Ensure prompt payments are made on time with carriers and co-loaders
• Monitoring of KPIs that includes SOI,SOC,DQ, UFF
• Ensure accuracy of P&L, Debit Note and Credit Note before confirming.
• Ensure accuracy of data entry in CW, invoice issuance and closing of shipment file per KPI requirement.
• Resolution of issues for first level escalations.
• Keep the system updated and ensure billing to client upon arrival of vessel.
• Liase with Bureau of Customs with regards to customs formalities and issues
• Endorses import documents prior to cargo owner’s representative/brokers for processing at the Bureau of Customs
• Communicates with origin Agents and internal COS team
• Check all required documents and compliance: commercial invoice, packing list, cargo compliance (nature/ geography)
• Securing valid QM/OSG prior the arrival of shipments
• Securing Debit Note from origin, if any
• Input up to date information in CW1: Tasks, milestones, events, deviations, and any other relevant information to guarantee execution of the shipment and data quality according to customer’s SOP and our internal standards.
• Submits documents for billing to biller based on the agreed KPI and send billing invoice to consignee/brokers.
• Prepares documents to CFS operators for container pullout
• Coordinate with CFS container stripping status and monitor unreleased cargoes.

• Must possess any Bachelor's Degree or Logistics and Transportation
• Has at least minimum of three (3) years work experience in Logistics and Freight Forwardinf Industry
• Prior experience in freight forwarding, particularly in air and sea freight, is highly preferred
• Excellent communication and interpersonal skills
• Strong attention to detail and organizational abilities
• Proficient in Microsoft Office, especially Excel and powerpoint
• Ability to provide value added business solutions and alternatives
