The Sales Coordinator responds to and tracks all sales and conferences inquiries, and supports the Sales Managers with creating proposals, estimates, and contracts. This Sales Coordinator is also responsible for responding to and documenting all Christmas Parties and Niche Market inquiries for their designated geographic region.

Duties and Responsibilities

• Managing and tracking incoming telephone, email, and online sales inquiries directing to the appropriate Sales Manager within a 24-hour turnaround time
• Checking availability for both guest rooms and function space
• Under direction from the Sales Managers, creating proposals and estimates and preparing formal contracts based on individual client’s needs
• Blocking guest rooms and function spaces in property management software
• Making reservations for dining outlets arranged as part of client’s booking
• Consulting General Manager, Conference Services and Chef for unique requests and pricing
• Copying and distributing all pertinent data concerning booked activities to appropriate departments
• Managing follow-up correspondence requests for both proposals and contracts
• Scheduling and conducting site inspections with prospective wedding clients
• Preparing a variety of weekly and monthly Sales reports
• Maintaining Sales collateral and creating and updating Power Point presentations for Sales and Conferences department
• Attending weekly Sales and Conferences meeting, communications meeting and monthly Health & Safety meeting
• Providing administrative assistance as required to Sales Managers and Director of Sales and Marketing
• Additional related tasks as assigned

The position supports the learning and development of colleagues through the delivery of trainings as well as promotes colleague engagement through active participation in colleague activities

DELIVER LEARNING AND DEVELOPMENT PROGRAMS TO COLLEAGUES

· Prepare training requirements

· Deliver brand training programs and property-specific modules to colleagues

· Assist in training needs analysis and development of property-specific programs

· Coordinate with leaders and department trainers to record departmental training activities and assist in their training requirements

· Liaise with external training providers

· Ensure upkeep of training room and proper ordering and inventory of training supplies

· Maintain accurate training records and reports

SUPERVISE THE INTERNSHIP PROGRAM

· Oversee Hotel Internship Program

· Build strong partnerships with schools

· Recruit, orient, and train all trainees who can be potential colleagues

· Maintain accurate records of interns (including MOAs, medical records, job task checklist, evaluations)

• Act as primary point of conduct for clients hosting conferences, meeting and events at the hotel.
• Coordinate and manage all event logistics, including room setup, audiovisual equipment, and catering.
• Work closely with clients to understand their specific event requirements and preferences, and provide personalized recommendations and solutions.
• Prepare detailed event orders, contracts, and invoices.
• Collaborate with various hotel departments, to ensure smooth coordination and execution of events.
• Conduct site inspections for potential clients and provide tours of event spaces, highlighting the hotel's amenities and services.
• Assist in marketing and promoting the hotel's event spaces and services through various channels, including online platforms and networking events.
• Handle any issues or concerns that may arise during events, and proactively addr4ess client needs to ensure their satisfaction.
• Maintain accurate records of all event bookings, inquiries, and client communications.
• Evaluate the success of each event and gather feedback from clients to continously improve our services and offerings.
