Job Title: Wholesale Coordinator

Schedule: CST hours

Salary Range: $800-$1,200/month

Summary of the Role:

We are seeking a Wholesale Coordinator who will be responsible for managing inbound leads, reaching outbound leads and ensuring seamless coordination for wholesale orders. This role requires a blend of customer relationship management, e-commerce expertise, and operational efficiency.

Responsibilities:

 Leads Management:

• Monitor and respond to bulk order leads in Klaviyo and sales inbox.
• Maintain detailed records of leads and interactions in Google Sheets/Hubspot.
• Initiate contact with potential wholesale customers, providing samples, virtual mockups, and quotes as needed.
• Proactively follow up with leads to convert inquiries into orders.
• Reach out to leads provided (10+ daily) with a template email and keep track of outbound leads separately 

Wholesale Order Coordination:

• Facilitate the ordering process once a bulk order is confirmed.
• Generate and send invoices, and ensure timely payment processing.
• Coordinate order details (shipping address, quantity, logo requirements, due dates) with suppliers.
• Obtain final approval from customers for mockups before production.
• Update customers with tracking information and ensure orders are delivered on time.
• Conduct post-delivery follow-ups to ensure customer satisfaction.

• Proven experience in customer success management, ideally within an e-commerce or B2B environment.
• Proficiency in Shopify platform management, including product listings, order processing, and app integration.
• Strong organizational skills with the ability to manage multiple priorities and deadlines.
• Excellent communication and interpersonal skills, with a customer-focused approach.
• Familiarity with SEO best practices, A/B testing methodologies, and website optimization techniques.
• Experience with CRM tools, Google Suite (Sheets, Docs), and e-commerce analytics platforms.
• Ability to work independently as well as part of a collaborative team environment.
• Basic graphic design skills (Canva, etc.)
