We’re looking for a detail-oriented Accounts Payable Specialist that’ll play a crucial role in ensuring

timely and accurate processing of vendor invoices, maintaining positive relationships with vendors, and

WHAT WILL YOU DO

Bill.com:

● Enter and verify vendor invoices in Bill.com, ensuring accuracy and completeness of information.

● Utilize Bill.com approval workflow to route invoices for internal review and authorization.

● Manage exceptions and discrepancies, communicating effectively with vendors and internal stakeholders.

● Prepare weekly payment proposal for review by Accounts Payable Manager.

Accounts Payable Processing:

● Reconcile vendor statements and investigate discrepancies.

Vendor Management:

● Communicate effectively with vendors regarding invoices, payments, and account inquiries.

Summary of Role

The inside sales role at Vesta is a support and sales position tasked with lead generation, administrative support for Account Executives and Project Managers, as well as coordination of project operations functions within focusing on billing and scheduling and CRM maintenance.

Because this role touches many aspects of the organization, it is considered a foundational position. This role is intended to allow motivated and qualified team members to progress in their careers with Vesta into sales, design, operations, or customer success. 

A solid understanding of the Vesta brand positioning and process is critical to the success of this role as an ISR employee will be able to learn sales skills and prospecting, design theory, planning, and operations processes

Key Tasks and Responsibilities 

1. Outbound lead generation on new market listings and stale properties: ISR daily will focus on outbound emails to agents who have new listings or listings on the market, which Vesta has an opportunity to stage.
2. Develop an active portfolio of agents, developers, and new home-builders assigned to the new target market.  
3. Maintained accurate task and follow-up actions on all deal-related activity related to outstanding invoices, install dates, COIs, changes, and delivery information between sales and operations.
4. Responsible for managing and improving the "Job Scope" entry process into Airtable and Eames, acting as 1st-level escalation for errors questions. 
5. Support the sales and account management team with deal activities such as collecting payment info, updating CRM data, customer service inquiries, interfacing with design and operations, and scheduling.
6. Clean and maintain prospecting lists for marketing and segmentation.
7. Manage all inbound lead inquiries via phone and internet form fills, Conduct initial qualification of customer needs and address questions, and route internally as appropriate. (Phone coverage will be the primary responsibility of this role during regular business hours, 9-5 PST)
8. Enter leads into CRM on qualified projects and assign to a sales team members based on lead rotation and distribution schedule. Return after-hours calls and qualify leads or address customer questions.
   Maintenance of all Customer data, including dates, addresses, projects, broker affiliations, and billing/invoicing details with the Salesforce CRM
9. Using the CRM and email templates, ISR will conduct outreach, add new agents to a database and qualify listings for a sales team.

As an Accounts Receivable Manager, you will be responsible for overseeing the accounts receivable process and ensuring the timely collection of outstanding balances for our clients across multiple brands. As an AP Associate, you are responsible for carrying out various day-to-day accounting activities and performing various reconciliations and tasks in support of the financial close process.

WHAT YOU’LL DO

• Process accounts payable using Tipalti and NetSuite by obtaining approvals and making sure vendor invoices are in the accounting system by their appropriate GL codes. Tipalti accounts payable volume is currently 700 invoices per month and is likely to increase over time. The expectation is to be able to process 80-100 invoices daily, and ensure the inbox has zero or less than 10 invoices at close of business.
• Making sure all vendor bills received in our AP inbox payments are uploaded correctly in Tipalti with all necessary attachments.
• Assist AP Manager with weekly AP aging payment reporting.
• Assists in the payment process in a timely manner (Net 30 business days from invoice date “or” Due upon Receipt only for those one-off sensitive vendors).
• Assist with AP month-end close.
• Assists AP Manager with processing Amex and employee reimbursement reports.

WHAT IS YOUR ROLE

As Quality Assurance Advocate, you will be supporting various strategic business unit (SBU) teams to assess and ensure quality of work aligns with the outlined expectations.. As an Accounts Receivable Specialist your responsibilities and duties include overseeing age receivables, invoicing, and client reporting work associated with the company.  You will perform the monthly invoicing and the age receivable duties, this will include but is not limited to the accounting entries, reconciling, distributing the customer invoices, and ensuring the cash collection in a timely manner. .. • Develop and maintain an authentic relationship with Top Tier Clients and internal stakeholders.
• Execute reviews of our operational performance with Client stakeholders and Boldr leadership when needed. 
• Work seamlessly with different departments namely: Implementation, Client Solutions, Finance, IT, People Experience, and Office Operations.
• Communicate and resolve complex inquiries and concerns objectively, valid, complete, and timely. 
• Help review and approve MSAs and SLAs created by the CX and contracts teams.
