SCOPE OF POSITION

Ensure customer service expectations are met, especially as they relate to data quality and integrity.  Orchestrate and engage our network  to ensure customer KPI and visibility requirements are effectively communicated and actioned. 

REPORTING STRUCTURE

There are two potential reporting lines.  1. reports directly into a GAM director if ASM is dedicated to a Global Account. 2. reports directly into a Customer Retention & Development Manager of their host branch.

JOB EXPECTATIONS & KEY RESPONSIBILITIES

• Provide reporting and visibility tools to the customer.

• Maintain & update SOP’s which includes, but not limited to, rates, KPI expectations, and general customer service requirements.
• Manage spot quotes or quoting desk when applicable.
• Serve as a point of escalation within our network.
• Ensure proactive communication to customers on service irregularities.
• Track shipments and in transit monitoring (both at origin & destination) when needed.
• Provide communication to customers on out of scope shipments.
• Initiate and own CAPA management (corrective action plan) when needed, and identify improvement areas in order to eliminate issues from repeating themselves.
• Design, set up and maintain any ad hoc reporting requests.
• Ensure data is accurate, timely and complete.
• Manage F2F shipments – if applicable.
• Monitor billing and receivables and assist with collections when needed.
• Provide assistance in resolution of claims and disputes.

To support the operations and development of the Customs Brokerage product in designated South Asia districts through focus on Compliance and Efficiency in Operations, Costs, People, Systems, and Culture in adherence to the company’s policy and procedures.

Tasks and Duties

Responsible for the Compliance, Customer Service Performance and Productivity of the Service Centre through the following tasks and duties:

• Create and maintain an effective service organisation chart with strong structure, which is designed for flexibility and growth
• Ensure high quality efficient output is provided to the districts being serviced
• Monitor workloads across functions to ensure available capacity is being used and district expectations are being met
• Review daily workboards with district Customs Managers, looking at bottlenecks, escalation requirements and prioritisation of the work.
• Conduct exception management to remove waste and improve efficiency for all clients and all steps in the process
• Proactively communicate with Customs Managers to ensure continuous awareness and understanding of process and activities
• Instil and foster a climate of compliance at all times to regulations. This includes internal policies and procedures and external government regulations or customer policies/requirements
• Instil and foster a climate of Process Management Fundamentals in seeking continuous improvement and productivity improvements
• Promote and advocate new system enhancements to achieve efficiency
• Support global initiatives such as use of Edoc Lift, Raft, EDI and Expo Customs.

• Reduce as much manual work as possible. Engage with Account Managers or Customs Managers to establish automation as much as possible for clients with heavy manual workload. (EDI connections into Expo Customs preferrable)
• Complete end of month breakdown reports for Accounting purposes timely and accurately
• Report to the GM of Customs on performance, including but not limited to Productivity, Overtime and Head Count, Output, Job numbers, Improvement projects

SUMMARY DESCRIPTION:

Responsible for preparing tax returns and ensuring compliance with local and national regulations at every step of the filing process. Maintains thorough tax records for the organization, compiling reports on expenditures, payroll, and revenue. Work across teams to communicate tax strategy to key employees throughout the organization.

Tax Compliance and Audit :

• Ensure compliance with all local and national laws by accurately determining the tax amounts due and preparing and filing annual returns.
• Keep tax liability at a minimum by leveraging deductions, exemptions, and high-level knowledge of tax laws.
• Educate team members and clients on forthcoming policy changes, technical financial concepts, and best practices.
• Maintain comprehensive tax records and financial data for institutional use and audits.
• Meet strict deadlines to avoid late fees and penalties.
• Track yearly and quarterly revenue and expenses for accurate preparation of tax returns.
• Create additional documentation when necessary, including tax forecasting reports for internal review.
• Collaborate with team members in communicating tax strategies to key employees in other departments.
• Maintain accurate database of tax records, manage electronic bookkeeping software and collation of all tax related documentation for BIR Audits.
• Remain up to date on industry developments.
• Manages end to end process from preparation of payment to archiving of all BIR tax returns including but not limited to corporate income tax, business tax, and transaction withholding taxes.

General Accounting:

• Ensure and carrying-out overall general accounting functions (e.g. Fixed Assets, Period Closing, Bookkeeping, Monthly and Statutory reporting, etc.)
• Ensure timely preparation, review and analysis of GL account reconciliation

Manages a solid team by driving all the Accounting operations within the company, responsible for Payroll, Capital Expenditure, GL Reconciliations, and assisting the Controller with the company’s financial affairs.

KEY RESPONSIBILITIES:

Finance & Operations:

• Manage the day to day Accounting operations including A/R, A/P, Treasury, Revenue Recognition and Cost Accounting, working closely with the Accounting and Operational teams to review processes, implement best practices and improve productivity.
• Process Payroll, including obtaining approval of new hires, terminations, salary amendments and the payroll run.
• Manage the Capital Expenditure process, including obtaining approval of acquisitions and disposals, maintaining the Fixed Asset Register, and completion of the Annual Inventory certification. 
• Complete all GL reconciliations, including Proof of Cash, Fixed Assets and Payroll for monthly P&L submission.
• Contribute to the preparation of the internal monthly accounts (Profit & Loss, Balance Sheet, Cashflows, and Analysis) for review by the Regional and Global Accounting teams.
• Prepare and submit information to statutory authorities for Payroll, VAT and Corporation Tax.
• Prepare financial information for credit reviews and perform annual credit reviews in line with Global Credit policy.
• Assist Controller with the preparation of statutory financial information and tax computations.
• Provide required information/documentation for Internal Control Evaluations and Internal/External Audits.
• Support the Finance Controller with miscellaneous projects and tasks.

People:

• Recruiting, hiring, provide input and continually interview to find new potential candidates for the accounting department
• Identify, develop, and mentor a No. 2
• Review and conduct staff appraisals timely, and at a minimum once per year per employee
• Ensure all staff and positions have job descriptions, clear expectations and are working with structured development plans
• Continually provide coaching and training to the team members
• Meet company standards of 52 hours training per year

Scope of Position

Manages distribution product for the branch. The distribution manager seeks new distribution services opportunities and cooperates with sales to turn new opportunities into profitable business.

Major Duties and Responsibilities

• Review and support with day-to-day quotations
• Support product with checking local charges and agreement quotes to ensure we minimize potential branch losses
• Plan and support with huddles and monthly meetings to discuss market intelligence and delegate workloads within the team.
• Attend the weekly branch Sales meeting and facilitate discussions on market updates and trends
• Take an active role in the transition of new business/ updates to existing business.
• Grow department Revenue in line with District budget target and management expectations.
• Supporting with BNP, AJAX, CLH, and internal financial reports to ensure that the department is showing clean financial accounting throughout all financial reports.
