About the role and team:

The Admin Assistant is a member of the LSI leadership team and responsible for providing comprehensive support for the organisation’s office operations and logistics. The Admin Assistant is also responsible for leading numerous projects supporting LSI’s growth in the Philippines. This role demands strong communication skills when acting as a point of contact for communications both internally and externally. This dynamic position requires the ability to anticipate needs, think critically, and offer solutions to problems with a high level of professionalism and confidentiality. 

Reporting to the Head of Lendi Services Inc, you will be assisting the production and non-production teams who provide loan processing, compliance and 'back of house' support to our rapidly growing national teams of Brokers and CS, this fast-paced and varied role will see you accountable for (but not limited to):

Responsibilities:

• Preparing customer agreements through our Salesforce x DocuSign integration.
• Using Stripe to send payment links, invoices and tracking the progress of our service fees (both initial fee and success fee).
• Looking after the hygiene of our stock and transaction management spreadsheet.
• Document management.
• Preparing settlement gifts.
• Gathering reviews from customers at settlement.
• Organising Pre-Purchase Inspections (Third Party businesses).
• Organising Pest and Building Inspections (Third Party businesses).
• Paying invoices to third parties.
• Monitoring Aussie Homes inboxes (info / accounts / complaints).
• Onboarding new team members into the necessary infrastructure and access required for their roles.
• Assist the Head of LSI in monitoring the team and individual staff performance in relation to their contribution to service delivery achievement of Lendi Services Inc.
• Maintains self’s proficiency with office operations and services through self-paced learning platform.
• Performs other functions as may be deemed necessary by and needed to deliver the output guided by the company’s vision, mission, and employee policies.
• Provide support to internal and external customers through phone and email channel.
• Meet timelines associated with the tasks in a timely manner and within quality standards LSI.
• Document all necessary instructions per function/project and keep the existing updated.
• Log all activities regularly and accurately via email or in Wiki, if applicable.

Position Summary & Purpose

•  Manage customer relationships when their current broker is unavailable (e.g., leaving the business, annual leave, or extended sick leave). 
• Ensure smooth handover of files and processes to maintain customer satisfaction.
• Provide consistent communication and updates, ensuring customers know exactly where they are in the process.
• Address key issues like funding/settlement problems and file handover/HLS offline situations.
• Prevent disruption in the customer experience and minimize negative feedback. Purpose:
• Bridge the gap when brokers are temporarily unavailable, ensuring a seamless customer experience.
• Improve customer satisfaction by offering smooth transitions and clear communication.
• Help HLS focus on delivering the best customer experience for their active clients.
• Address recurring issues with handover processes and lack of communication.
• Ensure customers are not left with unresolved issues, improving the overall customer journey and company reputation.

Position Responsibilities for Manila- Senior Relationship Managers (SRMs)

•  Customer Relationship Management: Take over customer interactions when their assigned broker is unavailable (due to leave, sickness, or departure). Ensure customers feel supported, informed, and valued throughout the process.
• Smooth Handover & Process Continuity: Manage the smooth transition of customer files from the previous broker, ensuring no disruptions in service. Ensure all relevant customer information is up-to-date and accurately handed over.
• Communication & Updates: Maintain consistent communication with customers, providing regular updates on the progress of their requests or cases. Clearly explain the status of funding, settlements, and file handovers, ensuring customers know where they stand at all times.
• Issue Resolution: Address and resolve any funding/settlement issues, file handover concerns, or communication breakdowns. Take proactive steps to resolve customer concerns before they escalate, maintaining a positive customer experience.
• Support for HLS Team: Free up HLS team members to focus on their current clients by managing handovers and resolving issues for incoming customers. Ensure that new customers from HLS inherit a smooth, positive experience instead of one marred by unresolved issues or poor communication. Coordinate with the HLS Manager or HLS Buddy for any issues that require lender follow-up as and when needed.
• Feedback and Reporting: Collect and report on customer feedback to identify recurring issues or opportunities for process improvement. Provide insights to the team on areas where customer satisfaction can be improved or where the handover process can be streamlined

You will play a key part in providing exceptional customer service through a combination of inbound and outbound calls and email interactions. Your main responsibilities include:

• Providing customers with updates and ensuring they feel confident and comfortable with Aussie throughout their journey.
• Handling complex inquiries and objections, guiding customers and brokers through the various requests managed by our team via calls and emails.
• Processing administrative, financial, and service requests while adhering to our service delivery standards.
• Ensuring compliance with the Quality Assurance framework and maintaining accurate records in Salesforce and the Aussie Funder System.
• Liaising with internal and external stakeholders, including solicitors, financial management services, Bluestone, and product partners.
• Continuously contributing ideas for improving our broker and customer service processes and enhancing the team's overall performance.

Position Responsibilities

• Executing our content strategy. Reporting to and working closely with our Content Lead in quarterly planning cycles.    

• Writing, editing and publishing engaging personal property finance content designed to demystify home loans and help our readers get on the front foot financially.  

• Maintaining web pages, updating and optimising copy and images on our CMS 

• Employing SEO best practices to drive results for organic website pages 

• Collaborating with the wider marketing team in developing compelling new content for SEO, analysing results, optimising older web pages, and identifying new content opportunities 

• Working closely with our Journeys team members to write emails customised for audience segments and stages of journeys.  

• Develop content including, but not limited to, articles (blogs & financial guides), industry insights, infographics, social media, eDMs and eBooks 

• Writing with a consistent brand tone of voice, easily switching between Lendi and Aussie brands. Bringing our brands to life across marketing touchpoints through your work.  

• Process accounts payable transactions, ensuring accurate and timely voucher entries and payment processing, while applying appropriate taxes.
• Assist in payroll processing and performance incentive distribution to ensure seamless and timely disbursement.
• Support financial closing activities, including preparing journal entries, analysing general ledger accounts, and maintaining monthly schedules for both month-end and year-end reports.
• Ensure all accounting transactions adhere to company policies, procedures, and relevant compliance requirements.
• Respond promptly to inquiries from internal team members and external stakeholders, providing accurate information and support.
• Assist in the creation, updating, and maintenance of Standard Operating Procedures (SOPs) and work instructions for various business processes.

Reporting to the Finance Manager, your role will be pivotal in ensuring the operational processes for financial accounting in the Philippines are executed accurately and efficiently.

• Complete all Executive expense management
• Assist the Chief of Staff with researching and completing any event duties
