The Accounting Associate is responsible for monitoring the schedule of payments by checking on the details and records of payments that are due to be made to different creditors. The position safe keeps the records of business debts and payments to be made for the services availed from other service providers or entities and other corporate obligations. Furthermore, the position ensures that payments made are properly validated through the presentation of periodic reports and payment schedules in order to ensure that proper funding is established prior to the settlement of payables. 

Responsibilities:

• Facilitate all accounts payable matters for both regular and special expenses.
• Prepare checks and vouchers and all necessary attached documents for the payment process.
• Safe-keep and maintains records of assigned company transactions.
• Handle bank-to-bank transactions, check payments, debit memos, etc.
• Other matters related to Accounts Payable, Accounts Receivable 

1. Perform day-to-day accounts receivable transactions.
2. Maintain and update of the AR, including its subsidiary ledger and the Customer Master Data.
3. Schedule, process, and post customer payments in accordance with the Company’s established procedures.
4. Perform account reconciliations and analysis:

• Maintain accounts receivable customer files and records
• Monitor customer account details for non-payment, delayed payment, and other irregularities.
• Provide analysis on the significant movement of accounts receivable per Business Partner.
• Verifies validity of account discrepancies by obtaining and investigating information from sales team and customers.
• Provide top 10 list of Business Partner with high outstanding receivable balance and action plan to collect such receivables

1. Assist with the month-end closing by preparing and releasing the following monthly reports:

• Customer Receivable Aging
• Customer’s Statement of Account and/or Sales Invoice
• Collection Report
• A/R Monitoring Database
• Others (as requested by immediate supervisor)

1. Provide quarterly and monthly provision for Bad debts and trading terms accrual, respectively.
2. Ad hoc task/s as instructed by the immediate supervisor.

The Sales and Marketing Assistant provides essential support for the sales team. The incumbent is responsible for the efficient handling of sales orders and helping to improve the productivity of field sales personnel to achieve set sales targets.

Duties and Responsibilities:

• Process, consolidate, and monitor purchase orders.
• Prepare necessary documents and presentation for an account showroom visit.
• Make sure that all required items are available for showroom visits.
• Provide sales support by attending to customer inquiries, concerns, and complaints.
• Prepares sales documentation such as but not limited to:
  • Sales report
  • Product performance
  • Business reviews
  • Another document based on raw data.
  • Monitor the performance of the handled accounts and provide feedback to the respective account officer in charge.
