The Order Management Analyst is responsible for managing and monitoring customer orders daily by planning and prioritizing delivery, allocating stocks, tracking order status, and ensuring that every order is dispatched within the agreed service levels to achieve customer satisfaction.

Key Duties and Responsibilities

• Books receive orders in the current booking system.

• Plots and consolidates orders to be served and orders for production request; 

• Checks Sales Order status and plans target dispatch and/or delivery dates; 

• Process Sales Order in SAP by allocating stocks and generates picklist. 

• Provides Orders Dispatch Schedule to transport and loading team to ensure effective and efficient loading and delivery execution; 

• Provides orders for production to Warehouse Team for planning of production request and inventory replenishment 

• Reviews status of pending unserved orders; 

• Provides updates on order delivery/dispatch schedule to Customer Care Representatives (CCRs);

• Monitor and tracks status of booked Sales Orders from processing until delivery to customer; 

• Monitors order fulfillment cycle time and ensures that orders are fulfilled accurately and within the agreed service level; 

• Escalates orders not served beyond 5 days to Logistics Manager and concerned TBM/RSMs to ensure that prompt action and disposition; 

• Checks and ensures that all Sales Orders are valid for processing and delivery; 

• Collaborates with concerned department/teams (production, sales, transport, and warehouse), on issues affecting order fulfillment to prevent delays and ensure on-time customer order delivery. 

• Ensures to provide regular update on order status, shipment advice and delivery / shipping information to Sales & customer. 

• Participates and attends QIT Meeting and nitiates innovation 

• Actively participates in company programs and generates ideas on process improvement, quality and increasing customer satisfaction; 

• Submits regular reports on order fulfillment performance results; 

• Ensures compliance to food safety, good housekeeping and quality management system based on the standards of 5S, GMP, HACCP, Halal and ISO; 

Performs other related activities that may be assigned by Immediate Superior. 

• FOOD SAFETY:

• Complies with quality, Halal, health and food safety policy, standards and regulations of the company.

• Responsible for reporting problems related to Halal, food safety & quality management system to identified authorities.

• OTHER TASKS:

• Actively participate in all company programs and activities under quality improvement, safety & security, sustainability, corporate social responsibility,  risk management etc. 

• Performs other tasks related to the job as may be assigned by the immediate superior.

The Risk Management Associate’s main responsibility is to assist in implementing the Information Security Management and Data Privacy Program across Aboitiz Foods. 

He/she will assist in maintaining a collaborative partnership with Aboitiz Foods Business Units (BU) and the AEV Risk Management Team in implementing existing and future ISMS and Data Privacy initiatives.

1. Assist in implementing the Information Security Management and Data Privacy Program across Aboitiz Foods.   
2. Assist in performing Privacy Impact Assessments (PIA), Vendor Due Diligences related to ISMS and DPMS, and Information Asset Management Registries as assigned. 
3. Assist in developing and implementing awareness activities, education, and training programs aligned with the organization's risk management philosophy and culture.
4. Inspect to ensure that processes are in place to protect the organization's information assets' confidentiality, integrity, and availability.
5. Assists in ensuring that processes comply with ISMS standards and related systems, policies, procedures, and processes and that they are up-to-date and complete.
6. Stays updated on the latest developments in information security management, data privacy security practices, quality, and technology through magazines/periodicals and attendance at relevant seminars and conferences

Others:

JOB SUMMARY :

The Data Management Assistant is responsible in performing general recordkeeping of the farms' operational information and in providing accurate data and reports for the farms. The position is also responsible in filing and organizing records and ensures the provision of quality and correct information by conducting audits to verify data.

The Data Management Assistant also oversees the monitoring and restocking of farm supplies, feeds and other required resources of the farms.

DUTIES AND RESPONSIBILITIES:

Record Management:

1. Accurately monitors and records daily swine production data and other relevant operational data.

2. Compiles, organizes and files farm records and documents and ensures proper storage and security of farm data..

3. Updates and encodes on ERP system as needed.

4. Prepares inventory reports and creates Farm Purchase Requisition, e.g. medicines, vaccines, farm supplies and others, upon the instruction of the farm manager and farm supervisor.

Report Management:

1. Consolidates farm production data and submits weekly accurate production reports and other farm reports.

Customer Service

1. Ensures the timely preparation and issuance of various swine medicines, vaccines and supplies to farm personnel.

2. Manages the feed request of the farm and its delivery schedules.

Inventory Management:

1. Ensures accurate inventory count of stocks weekly.

2. Maintains enough level of farm supplies, medicines and vaccines to ensure availability for farm requirements.

3. Ensures proper care and handling of farm supplies by following the required storage conditions for medicines, vaccines and other supplies.

• expiration dates of medicines monitored and reported

4. Coordinates with farm driver the timely pick-up of medicines and other stocks from the warehouse.

Other Tasks:

The Order Fulfillment Analyst is responsible for managing and monitoring customer orders on a daily basis by planning and prioritizing delivery, allocation of stocks, and tracking of order status ensuring that every order is dispatched within the agreed service levels to achieve customer satisfaction.

An Order Management Analyst is a critical role in the logistics and supply chain process of a company. Their primary responsibility is to ensure accurate and efficient booking of finished goods sales orders for customers.

He/She is also responsible for the timely confirmation and allocation of customers’ orders.

1. Receive Order from Sales / Customer
2. Create/Update/Cancel sales order in SAP
3. Create Outbound Delivery
4. Ensures complete data in Sales Order
5. Allocation of Stocks including reallocations if necessary
6. Submits list of orders with revision or changes including stock out items to OM Supervisor
7. If customer will not replace the item, OM checks availability schedule and send email to  customer on the delivery proposal
8. Check if the data in the Sales Order is complete and correct in the SAP system.
9. Send order confirmation via email to Sales / Customer
10. Monitor open and aging SOs and send email to  customer/TBM if still valid for serving or endorse for cancellation
11. Follow up release of Hold Order
12. Review and Clean up of Open OBDs
