Job Objective

The Supply Chain Data Visualization Associate supports stakeholders from different Supply Chain functions (Production Planning, Procurement, Logistics, Master Data) with data and reports to gain increased visibility of end-to-end operations to reshape and enhance business insights, analysis and decision-making capabilities.

Key Duties and Responsibilities

• Cost Data Visualization and Dashboard: Responsible for organizing and bringing together data from across different applications and sources and analyzing Supply Chain data with an end goal of devising, creating and presenting real time visibility of reports and dashboards for Total Supply Chain Cost for Supply Chain Optimization that includes the optimal placement of inventory within the supply chain, minimizing operating costs (including manufacturing costs, transportation costs, and distribution costs).
• KPI Data Visualization and Dashboard: Support the implementation of key supply chain KPI's / reports and initiatives, by creating and maintaining a reporting platform containing KPIs for Supply Chain with appropriate data drill down to support root cause analysis and action planning.
• Data Collection and Validation: Generates regular and ad-hoc (requested by the business) reports of data from different systems used. Understands business systems as they affect data, reports and processes. Develops and maintains databases, and data systems – reorganizing data in a readable format. Validation of data sets to assure high quality of reports provided to the teams.
• SC Data Reporting: Preparing final analysis reports for the stakeholders to understand the data-analysis steps, enabling them to take important decisions based on various facts, trends, patterns, and predictions using relevant data.
• Data Analysis and Insights: Responsible for using statistical tools to identify, analyze, and interpret patterns and trends in complex data sets ( local, national, and global trends) that impact both the organization and the industry that could be helpful for the diagnosis and prediction. Assigning numerical value to essential business functions so that business performance can be assessed and compared over periods of time
• Stakeholder Collaboration: Work with Line of Business counterparts & experts to identify process improvement opportunities, propose system modifications, devise data governance strategies,  and seek approval prior to submission. 
• Continuous Improvement: Proactively identify opportunities to enhance the data Visualization and Dashboard, reporting processes, and data collection methodologies. Recommend process improvements, automation, and data visualization techniques to enhance the effectiveness and efficiency of KPI governance and cost optimization.

The Warehouse Dispatch Officer is responsible for the general warehouse operations from receiving of goods, storage, internal movements, goods issuances, and loading/dispatch of finished goods ensuring timely, accurate, complete documentation and compliance to  Good Warehousing Policy, Procedures and Standards for safe and efficient warehousing operations.

He/She is responsible for ensuring accuracy, completeness and proper loading of goods onto trucks, or transportation vehicles. 

He/She ensures real-time, accurate and complete system recording of all inventory related  transactions.

1. Pre-Loading Activities

• Upon receipt of the Outbound Delivery Order or Loading picklist, Checker must review and validate the order details, stowage instructions, and the assigned vessel to use.
• Record the order details and other information needed in the spreadsheet electronic tally sheet.
• Review the vessel capacity vs total bags ordered to check on possible offloading of bags or for possible additional orders to maximize the vessel capacity.
• Once the assigned vessel is available and secured docking at Pilmico Ports (Old and New Ports), Checker will request from the Pest Controller and Engineering department for cargo vessel inspection.
• Conduct pre-loading inspection and pest control activities of the cargo vessel.
• If the result of inspection is not favorable, then pest controller or engineering personnel inform the Vessel Personnel and Checker of non-conformance and ensure that corrective action is being done prior loading.
• Confirm the result of inspection and affixes signature in the inspection checklist for acceptance and or for further cleaning or repair of the cargo vessel.
• Once accepted, prepare an issue to the Vessel Crew on the following documents as required by the Philippine Port of Authority (PPA). 1. Berthing Permit, 2. Wharfage Fee, 3. Copy of Bill of Lading.
• Communicate and arrange schedule of loading to TwinG and Jodin Supervisors to ensure the availability of resources (Stevedores, Forklift Operators, and Forklift units).

1. Loading Activities

• Process and create warehouse transactions in SAP system.
• Inputs reference in the SAP tile to review the transaction details and create warehouse task transactions.
• Check and review the product and quantity to be loaded in the loading ticket vs system. Sign the loading picklist and prepare a loading layout plan.
• Check the actual locations of products based on the suggested picking locations of the system and indicate the locations in loading picklist
• Provides loading instructions and product layout copy for picking reference of Forklift Operator and TwinG loading checker assist.
• Provide booking copy and stowage instruction to vessel chief mate and Loading Foreman for reference during loading execution.
• Loading of finished goods follows.
• Transfer of finished goods from warehouse storage bins to vessel GI zone staging area.
• Scan the pallet handling unit and the GI-Zone location to be able confirm the warehouse task using the RF scanner.
• Loading of finished goods in the vessel and piling of bags should be properly arranged and piled.
• If there are non-confirming products, ensure that the exact quantity and product shall be replaced. Non-conforming products should be summarized in the Finished Products Nonconforming Report at the end of shift or loading.
• If loading is not completed within the day, a partial loading report shall be submitted and reconciliation of ending balances and loaded bags should be conducted every end of shift. Reconciliation of ending balances should be acknowledged and signed by the following personnel. Checker, Vessel Checker/Chiefmate,  Loading Foreman, Vessel Loading Checker assist.
• Check and validate total number of bags loaded vs quantity confirmed in the system.
• If there are no discrepancies observed, update the vessel electronic file and provide a shift report. Otherwise, appropriate action shall be undertaken to resolve the discrepancies.
• Reports and loading documents are properly turnover and should have acceptance between outgoing and incoming vessel loading checkers.

1. Post Loading

• Ensures the vessel hatch cover is fully sealed after vessel loading completion.
• Validate and consolidate all loading damages from the start of loading until completion. All damages should properly recorded and suffice with Non-Conformity report forms.
• Transact Loading Damages  -Post Goods Movement & Maintain Outbound.
• Validate and review the physical ending balances vs loading layout and system records. Ending balance and system should be equal, otherwise appropriate action shall be undertaken to resolve the discrepancies. 
• Ensures that loading records are acknowledged and signed by the following personnels as proof and acceptance that loaded bags are complete based on the loading picklist provided. 1.Organic Loading Checker, 2.Vessel Checker,          3. Forklift Operator, 4. Vessel Checker Assist
• Post Goods Issue and Printing of Delivery Receipts

1. Identifies and recommends action plans for the procurement of materials needed for the effective and on-time implementation of maintenance work.

Improvement Projects

1. Designs and performs cost estimates of improvement projects and submits to Supervisors and/or Manager for evaluation.
2. Implements improvement projects ensuring that these are in accordance with project specifications and applicable standards
3. Performs electrical/instrumentation installations ensuring safety and efficiency and that specifications are met.

Power System and Energy Management

1. Operates and tends the power generators as may be required during scheduled and unscheduled power interruptions.
2. Ensures that power is appropriately provided to critical processes and/or departments.
3. Monitors critical power system parameters, power factor, demand and energy of all critical process areas in the plant.

Provides assistance to CRO and Production Supervisor. Ensures micro hand adds readiness and accuracy, and monitors micro ingredients and packaging materials availability in the process area. The position is also responsible for contributing to the achievement of the quality objectives of the plant by performing the functions of key positions in the plant.

1. Monitors hand adds inventory and identifies critical ingredients and packaging material during his shift, recommends action plans to Production Supervisor and/or Feedmill Manager. Tracks micro hand adds prepared in his shift and conduct physical inventory and inspection to ensure weight accuracy and correct ingredients are utilized for the specific diet.

1) Material Staging

• The Outbound Delivery will be processed in EWM and create a Warehouse Task to execute requests in the warehouse.
• Once the warehouse tasks are created, proceed to perform actual picking of materials
• Proceed in confirming the tasks (via Desktop/scanner). Once completed, picking status will be set as completed in the Outbound Delivery.
• Proceed in posting the Goods Issue for the Outbound Delivery in EWM. Outbound Delivery will be updated with corresponding material documents for stock transfer and materials will be physically moved to the production area. Inform Production that transfer is completed.

• Validate if the assumed GR (which is done either by Shift or by brand) from Production is the same as the actual quantity received. Proceed Secure approval from Production Supervisor to adjust delivery quantity based on actual receipt if not Proceed with Goods Receipt in reference to Inbound Delivery. Transactions will be performed via scanner. Pre-defined HUs will be re-used for packing. Stocks received will be set as on-hold (for Quality Inspection). 4. Maintains coordination & constant communication with the concerned teams under the Logistics & Supply Chain to properly monitor whereabouts of the deliveries & in-transit materials.

Material Storage & Warehouse Management

1. Implements proper layout of the materials in the warehouse ensuring that piling/palletizing standards, correct distance between stocks & proper segregation of materials are observed at all times.
2. Ensures all materials stored are in the proper physical condition (no spillages, busted bags, etc.) & coordinates with Pest Control provider to properly manage the infestation in the warehouse.
3. Conducts regular inspection of materials to assure quality &good physical condition and reports all non-conforming items (damages, reject, expired, obsolete, items for disposal, etc.) to the concerned teams & follows through its proper disposition.
4. Follows Good Warehousing Practices, 5S/GMP standards & promotes Safety in the warehouse.
5. Coordinates with subcon agency supervisor/foreman to ensure proper execution of warehouse activities.

Material Dispatch/Issuance 

1. Coordinates & confirms the request for issuance/dispatch with the concerned teams & provides feedback on the status of the request.
2. Implements First-Expiry-First-Out (FEFO) and First-In-First-Out (FIFO) system for all material issuances.
3. Ensures accuracy on the actual dispatch based on the request & the details reflected in the records.
4. Executes proper documentation in the material issuances as required by the standard process & the stakeholders.

Inventory Management

1. Manage and maintain inventory records of all materials stored in the warehouse.
2. Ensure inventory accuracy by conducting regular physical inventory count or cycle count and participates in the regular inventory variance reconciliation.
3. Generates reports to monitor inventory management and convey results to management and ensure that operational goals are achieved.
4. Identify discrepancy in the inventory records and conduct analysis to determine the root cause of the error.
5. Ensure regular checking of the materials to assure quality and maintain good physical condition.

Food Safety:

1. Complies with quality, Halal, health and food safety policy, standards and regulations of the company.
2. Responsible for reporting problems related to Halal, food safety & quality management system to identified authorities.

1. Prepare a recon file and send it to all stakeholders involved in the count & recon.

2. Reconcile the variances after comparing the physical & system balances. Prioritize items with large amounts (exceeding 1% of the monthly usage/dispatch).

3. Input the findings of the reconciliation as a recon item in the recon file.

4. Set a meeting with the Warehouse & Accounting team and present the final variance figures.

5. Once approved, proceed to create Physical Inventory Document (PID) based on the approved variance figure per SKU and location (SLoc).

JOB SUMMARY:

Production Associate is under the supervision of Flour Mill Production Supervisor. Ensures that additive requirements of all brands are being met and all documented procedures are being followed.                    

DUTIES AND RESPONSIBILITIES:

Flour additive dosing and control

1. Coordinates with the production supervisor on the flour to produce and additive to add.
2. Conduct feed rate per additive feeder as required in SOP.
3. Ensures that correct dosage of additive is being added to flour as per required by Feed Rate of Flour Additives given by QA.
4. Ensures that all additive feeders are running normally and accurately.

Chlorine Addition Micro

5. Ensures that the correct amount of chlorine is added for AP/CF and other flour requiring chlorine as per pH requirement set by QA.
6. Operate the chlorine addition facility. Ensure that all machines are running normally.
7. Ensures that all chlorine tanks are properly and safely closed during shutdowns.
8. Monitor chlorine header pressure. Ensure that actions are immediately taken when the chlorine tank is emptied.
9. Facilitate installation of spare chlorine tank when a tank is emptied.

Packing Operation

10. Checks and monitors flour blending ratio. Ensure that it complies with the formulation set by QA.
11. Take a random slick test on pack out flour to see if it conforms to the standard reference.
12. Conduct moisture analysis of flour as required by the sampling schedule. Record and submit to QA.

Inventory Management

13. Withdraws flour additives from QA Laboratory.
14. Maintains inventory records of on-hand additives and performs physical count.
15. Maintains inventory records of on-hand chlorine tanks.
16. Monitor daily usage and ensure that actual usage is the same with theoretical usage.
17. Ensures proper storage of on-hand additives.

Other Duties

18. Monitors CCP/OPRP as per required in the quality plan.
19. Prepares the Flour Mill Associate's Report.
20. Ensures the cleanliness of the areas assigned.
21. Perform other job-related duties as assigned.
22. Ensures compliance to food safety, good housekeeping and quality management system based on the standards of 5S, GMP, HACCP, Halal and ISO.

Ensures that the Purchased items are stored and distributed to the right locations. Analyzes and links the Demand Plan from Sales with the Supplies coming in from Demand & Supply (D&S) Planning and Procurement teams. 

Ensures cost-efficiency on External Warehousing operations by daily simulating “should be” expenses, and reconciling with actual incurred expenses. Analyzes and investigates differences between Planned versus Actual External Warehousing costs. Links reconciled costs to Accounting/ Finance. 

Performs governance on Overall Inventory and Available For Sales (AFS), encompasses (TMM and all External Warehouse sites. Ensures daily updating and accuracy of Overall Inventory and AFS--in SAP, Power BI and actual physical items in all sites, including TMM. 

Drives strong coordination with Sales, Supply Chain, External Logistics Coordinators, TMM Team and External Warehousing Partners to ensure above objectives.
