Key Responsibilities

Ecommerce Planning (40%):

· Develop strategies and makes in-depth recommendations based on a strong grasp of analytics, eCommerce Affiliate marketing & Influencers Affiliate Campaign

·         Processing of requests as per the approved listing from different agencies (Nil payment run) accurately and timely for early payment.

·         Monitoring the invoice flow and ensure timely media reconciliation according to the SLA.

·         Prompt & efficient handling of all supplier/client/staff queries.

·         Management of all filing requirements both hardcopy and softcopy where appropriate.

·         Understanding of Media Accounts Payable Process and it’s various controls(including assisting in audit queries and findings)

·         Participation in the implementation of process improvement initiatives and other Ad-hoc activities identified by Management

·         Managing of emails in Generic Email boxes on time and ensure that all emails are attended to/ replied/taken necessary action.

·         Preparation of various Reports and timely submission

·         Provide backup as and when required.

The scope of this position is to process Media vendor invoices into Starscape system. This includes invoice inward, validation and processing of vendor invoices of multiple media tv like TV, Digital, radio, press etc.  

ESSENTIAL FUNCTIONS:

Role (Accounts Payable)- To process media invoices for TV/Radio/ Digital/ Outdoor/ Press.

Key Accountabilities:

1. Manage the Headcount monthly reports for accurate inventory forecasting.
2. Perform yearly and quarterly projections to ensure inventory levels meet business demands.
3. Plan capacity for new hires (NH) and terminations to optimize asset utilization.
4. Supervise the entire order lifecycle from quotation to delivery, ensuring compliance with organizational standards and customer satisfaction.
5. Design and implement robust data management and reporting strategies to enhance decision-making and performance tracking.
6. Develop and refine DaaS-related processes and policies, driving continuous improvement and adherence to best practices and compliance standards.

Key duties:

1. Handle quotation requests, AR submissions, PR creation, and the subsequent follow-up on these items.
2. Coordinate delivery schedules, ensuring timely receipt and distribution of IT assets.
3. Regularly update and maintain a comprehensive database of all IT assets, conducting data verification and correction as needed.
4. Generate regular reports on DaaS operations, maintaining high standards of data quality and sanity.
5. Analyse reports to identify trends and actionable insights for inventory and order management.
6. Execute the disposal of IT assets, coordinate insurance claims, and manage the logistics of asset returns and replacements.
7. Facilitate remote asset repairs, coordinating with technical teams and service providers.
8. Assist operational leads in ensuring SLA compliance and effective resource allocation.

Key Accountabilities:

1. Collect data on ticket routing, resolution times, and service level compliance.
2. Perform initial analysis of IT performance data to identify trends and patterns.
3. Help generate regular reports on IT service performance and project statuses.
4. Prepare documentation and presentations for internal review.
5. Assist in updating and maintaining dashboards for real-time IT service monitoring.
6. Ensure that all dashboards reflect accurate and current data.
7. Work with IT teams to collect information and respond to inquiries about service performance.
8. Support the IT Performance and Reporting team with administrative tasks related to performance tracking and reporting.

Key duties:

1. Maintain proper records and documentation of IT performance analysis.
2. Assist in quality checks of data and reports to ensure accuracy and consistency.
3. Report any discrepancies or anomalies to senior analysts for resolution.
4. Work closely with the IT support teams, operational leads, and other departments to facilitate effective service management practices

Key Accountabilities:

1. Conduct regular analysis of key ITSM performance metrics to track and report on team and service performance.
2. Identify trends and anomalies in ticket data to inform improvements in service delivery.
3. Analyse patterns in incidents and service requests to identify common challenges.
4. Recommend automation or process enhancements to streamline operations and improve response times.
5. Monitor ticket volumes and resolution times to identify areas requiring attention or improvement.
6. Produce regular reports on SLA performance and service availability to inform management and stakeholders.
7. Collaborate with operational leads to ensure that the team adheres to SLA compliance metrics.
8. Develop strategies to maintain or exceed SLA standards across all service areas.
9. Create and maintain dashboards for real-time monitoring of IT services, providing actionable insights to IT management and operational leads.
