We are looking for an Audit Coordination Specialist with an interest in International Trade.

The Audit Coordination Specialist serves as primary contact for our customer’s suppliers & factories to ensure that all inspections and audits are scheduled in a timely manner. The coordination specialist is expected to constantly provide excellent customer service to all accounts, suppliers and factories as well as represent the client needs and goals within the organization.

Location: Cebu - Philippines

Area: Audit Coordination – EMEA

Responsibilities:

• Booking Management: Ensure 100% of all bookings are arranged and confirmed, ensuring accuracy, efficiency, and timely execution.
• Email Requests: Respond to and process all email requests within the agreed Service Level Agreement (SLA), ensuring quick and efficient service.
• Proactive Coordination: Coordinate with suppliers and factories to schedule audits, confirming key details such as location, date, and organization ahead of time.
• Audit Ownership: Take full ownership of all audits, ensuring they are executed smoothly and according to schedule.
• Customer & Supplier Inquiries: Handle inquiries and requests from customers, suppliers, and factories, providing clear, accurate, and timely responses.
• Internal Coordination: Collaborate with internal teams to allocate appropriate auditors to each booking and ensure that all expenses remain within budget.

Work Schedule:

The role requires flexibility in working hours, including availability for day and night shifts, as well as weekend on-duty shifts, to meet the needs of our global clients and operations.

Authority: He/she will be reporting directly to the Audit Operations Manager - EMEA.

Evaluation: Periodical evaluations every 6 months.

After receiving proper training/mentoring, you will be expected to:

• Create and update Audit Protocols: in collaboration with technical team Minimize the protocol edition time by using the most efficient method, ensure they meet client’s requirements and are well set-up for Auditor use.
• Maintain customer's data: maintain customer's audit data or extra system/platform to ensure the completion of the audit result and audit follow up status.
• Give a good service level: Reach the requirements and the deadlines of the different requests received from internal/external QIMA team members.
• Provide user experience feedback to the IT Product team so the tool is continuously getting shaped in the most meaningful/efficient way.

As a Business Development Manager at QIMA, your primary responsibilities will include:

• Client Portfolio Management: Develop and manage your own client portfolio, typically consisting of companies involved in the import and export of consumer goods globally.
• Prospect Acquisition: Utilize various methods such as cold calling, networking, referrals, and participating in fairs and exhibitions to identify and acquire new clients, mainly focusing on Hong Kong & other Far East countries sourcing offices & overseas clients.
• Client Relationship: Nurture prospective clients, maintain consistent and open communication, and successfully close deals.
• Upselling Services: Promote additional services to existing clients to ensure they leverage the solutions provided by QIMA optimally.
• Collaboration: Work in synergy with the Operations and Marketing Teams to drive large-scale projects and increase market awareness.
• Market Analysis: Analyze market trends, establish competitive advantages, and monitor metrics to ensure effective use of analytics in achieving ambitious sales targets.

Your responsibilities will be, but not limited to:

• Leads and oversees the group monthly close and global consolidation of actuals, ensuring complete and accurate financial in accordance with International Financial Reporting Standards (IFRS). 
• Manages and reviews close activities including journal entries and account reconciliation. 
• Leads and reviews monthly consolidation and financial reporting, including investigation and clearing of intercompany balances, closing and consolidation errors. 
• Overall accountable in the compilation of the consolidated balance sheet, income statement, statement of cash flows and other executive reporting requirements.
• Responsible in the review, analysis and presentation of the Group Cashflow and Working Capital to the CFO and the submission of the corresponding BOD slides.
• Leads the submission of the Financials required in the Group Audit and the compilation of all the audit requirements associated with the FS.
• Works with cross functional teams in addressing challenges, issues, and risks in the closing process to ensure timely and accurate books closing.
• Leads the debrief meeting to discuss closing issues with respective teams with the objective of keeping the best practices and improving on and addressing the gaps.
• Overall accountable in the tracking and monitoring of the GL and Consolidation KPIs and the presentation to the Group Finance Director and CFO
• Provides guidance to all subsidiaries to ensure consistency in consolidated financial reporting and applications. 
• Leads the balance sheet justification to ensure accurate and complete representation of the financial position of the company’s consolidated balance sheet. 
• Drives process improvements and assists with system transformation projects.

As a Manufacturing Audit Supervisor, you will play a pivotal role in ensuring quality of reports delivered to our customers driving customer satisfaction and business growth.

You will be in direct contact with customers where clarification or update of protocol are required. Monthly KPI data preparation and review will be required. You will also support the audit team in achieving timely delivery of reports.

You will be responsible for training of auditors to ensure the consistency of reports submitted in terms of quality.

You will be directly reporting to the Manufacturing Audit Manager.

Key responsbilities include:

• Review Manufacturing Audit Reports to evaluate if they meet our clients‘ requirements.

• Communicate any report issues and recommendations to our certification team.

• Follow-up on necessary corrective action

• Provide technical expertise and advice to our teams and our clients.

• Preparation and update of new Manufacturing Audit Protocol.

• Preparation of training material for auditors.

• Participation and preparation of KPI for customer’s meeting where required.

• Other tasks arranged by the management team.
