Position Overview
The Property Administrator and Bookkeeper is responsible for managing the administrative and financial tasks associated with property management. This role involves maintaining accurate financial records, overseeing property operations, coordinating with tenants and vendors, and ensuring compliance with relevant regulations. The ideal candidate should have experience in real estate, bookkeeping, and property management software.

Key Responsibilities:

Property Administration:

• Serve as the primary point of contact for tenants, addressing inquiries, concerns, and maintenance requests.
• Prepare lease agreements, renewals, and termination documents.
• Coordinate property inspections and ensure properties are well-maintained.
• Oversee vendor contracts, including maintenance, cleaning, and repair services.
• Maintain an organized filing system for all property-related documentation.

Bookkeeping and Financial Management:

• Record and reconcile financial transactions, including rent payments, security deposits, and operational expenses.
• Prepare and send out monthly rent invoices and follow up on overdue payments.
• Manage accounts payable and receivable for property operations.
• Generate financial reports, including profit/loss statements and cash flow summaries.
• Assist in preparing annual budgets and tracking expenses against projections.

Compliance and Reporting:

• Ensure compliance with local, state, and federal property management regulations.
• Assist in tax preparation by organizing and maintaining financial records.
• Monitor and report on financial performance metrics to property owners.

Qualifications:

• Bachelor’s degree in Business Administration, Accounting, or a related field (preferred).
• Proven experience in property administration and bookkeeping, ideally within real estate.
• Proficiency in property management software (e.g., AppFolio, Buildium) and QuickBooks.
• Excellent communication and customer service skills.
• Familiarity with local property management laws and regulations.
• Knowledge in QB Desktop

Position Summary: The Property Administrator and Accounts Assistant will handle administrative and accounting tasks related to commercial and residential real estate management. This role ensures the smooth operation of property-related services by managing compliance, maintenance, and financial tasks efficiently. The position requires proficiency in property accounting software and general administrative duties to support the team.

Key Responsibilities:

1. Property Management & Compliance
• Track and ensure property statutory compliance with all legal and regulatory requirements.
• Coordinate planned and reactive maintenance tasks for properties, ensuring timely follow-up and resolution.
2. Accounting and Financial Management
• Keep property accounting software updated by:
• Posting tenant receipts and applying payments to the correct accounts.
• Posting purchase invoices to the appropriate property, budget category, and cost center.
• Run invoicing routines to ensure accurate and timely billing for tenants.
• Assist in managing service charge allocations, calculations, and reconciliations.
3. Administrative Support
• Take and relay phone messages, providing excellent customer service to tenants and vendors.
• Provide general administrative support, including preparing documents, organizing files, and managing correspondence.
4. Software and Tools Management
• Use Logican Property Accounting Software and FreeAgent Accounting Software for all property-related accounting tasks.
• Manage records, calculations, and data entry using Microsoft Excel, Outlook, and Word.
• Handle maintenance requests and updates through Fixflo Job Management Software.

Qualifications:

• Experience in property administration, accounting, or related field.
• Proficiency in property management and accounting software, particularly Logican, FreeAgent, and Fixflo.
• Strong knowledge of Microsoft Office Suite (Excel, Outlook, Word).
• Excellent communication skills, both verbal and written.
• Strong organizational skills and attention to detail, with the ability to prioritize tasks effectively.
