SPECIFIC RESPONSIBILITIES

• Updates himself / herself with the recent developments in the area of international rules, regulations, policies and practices pertaining to Conformity Assessment.
• Develops new policies, rules, instructions for existing and new PCA contracts
• Issues technical guidelines and policies to ensure continuous and consistent adherence to TFS Business Rules, Country Instructions and other technical requirements for inspection body (ISO/IEC 17020) and product certification body (ISO/IEC 17065).
• Provides direction and coaching to the Certification Centre (CC) Leaders in the areas of

• Advises Certification Centres contract teams on complex and highly technical cases.
• Facilitates CC Management Team meeting, as required, in addressing clarifications, issues, concerns and provide updates on policy aspects.

Primary Responsibilities:

• Semi-front-end group, composed of technical skilled people, attending on-line and off-line transfers from Level 1 Support
• Provide remote support for incidents and requests in support of the distributed end user devices (desktops, laptops, mobiles, and laboratory equipment)

Specific Responsibilities:

• Software Maintenance and Support. Remote support of SGS standard software for end users and devices, including installation, testing and maintenance.

• Provide specialized functional support at application level for Global Business Applications addressing on-line and off-line incidents and requests from Level 1
• Participate on-line in incident resolution and diagnosis of incidents and, if necessary, collaborate with Business Applications owners and Application Support Teams.
• Responsible for maintaining and increasing the resolution capability of Application Support tickets by Level 1

• Handles receiving of incoming samples and ensures samples are inspected, sorted, and stored in a suitable storage condition.
• Records, checks, and assess the quantity and sufficiency of samples against testing requirement.
• Records and checks the quality and integrity of samples and coordinates client and sales for any discrepancy and defects.
• Ensures samples received are checked against relevant documents such as but not limited to Proposal, P.O., Request for Analysis form etc.
• Registers samples in the system and must ensure all relevant information such as client special instructions are captured accordingly.
• Sends generated claim stub to client after registration.
• Endorses samples and documents like Job Instruction, Work Sheets and other relevant documents to laboratory.
• Scans and uploads documents to dedicated Sharepoint site.

Reporting:

• Generates and sends complete final tests and inspection reports to client.
• Ensures details are correct and client special instructions are captured accordingly before sending of final reports to client.
• Maintain documents and files/keeps them on corresponding job folders and/or prepare documentation for archiving.
• Ensures records and monitoring are up to date.

Dispatching:

• §  Prepares and dispatches document package (Certificate/LTR, Invoice, Proposal, Letter, etc.) with approved results or reports through appropriate means (by fax, mail, courier, or delivery).
• §  Ensures correctness of recipients’ details and parcel’s content to avoid erroneous dispatching.
• §  Monitors and tracks the parcel’s location and update the monitoring in a timely manner.
• §  Ensures delivery receipts are scanned, compiled, and uploaded in the designated Sharepoint.
• §  Performs other related duties as may be assigned either in support of departmental goal or for his/her personal or professional training, education or development as programmed by his/her immediate superior
• §  Complies with the Quality, Health and Safety, Environment and Energy (QHSEE) policies and supporting objectives including, but not limited to:
  • Demonstrates strong obligation to SGS QHSEE policies, procedures and work instructions by actively participating in meetings, projects and events, completes required training, intervenes in unsafe situations, refuses unsafe work, and complies fully with all applicable laws and regulations related to HSEE
  • Perform appropriately and immediately to emergency situations and assists other staff members in maintaining readiness to respond to emergencies within the workplace
  • Disposes or directs the disposal of waste generated as a part of daily work performed in a safe manner and in compliance with the disposal regulations and requirements, and in accordance with SGS Environmental Management System requirements
  • Reports all incidents, including near misses and hazards, that may affect the achievement of QHSEE objectives in accordance with SGS Incident Reporting and Management requirements
  • Efficiently uses all equipment, including safety equipment, and company owned property in the manner intended and reports any damaged / lost equipment to immediate superior
  • Maintains a safe and tidy worksite according to the organization’s 5S program and guidelines
  •  Maintains awareness of the safety and health related hazards and environmental aspects and proposes action plans to control the risks to immediate superior or QHSEE Coordinators
  • Actively participates in incident investigations and risk assessments as deemed necessary by SGS management

• To collaborate with the Laboratory Operations Manager in planning and pursuing capacity and technical capability development, quality, efficiency and sustainability of the Chemical Laboratories.

• Responsible in controlling and organizing the day-to-day technical operations of the AFL and EHS   chemical testing laboratories and ensuring compliance of technical implementation activities and procedures to ISO 9001, ISO/IEC Guide 17025 requirements, and global system requirements.
• Controls the selection, hiring, development of people as well as the implementation of disciplinary actions including terminations based on performance and competence vis-à-vis business needs.
• Ensures that Lab personnel undergo and pass proficiency testing to ensure the quality of work results.
• Effectively manages the utilization of laboratory resources including monitoring of equipment efficiency and laboratory analyst effectiveness
• Develops and recommends new testing services.
• Reviews new test procedures, manages the method development of new services, and recommends costing as inputs to sales, marketing and business development.
• Collaborates with the Sales and Development Team in customer discussion of new testing capabilities and other technical related concerns.
• Oversees all technical chemical laboratory activities and operations in accordance with the company policies and procedures and other international standards to which SGS subscribes.
• Work with Operations Executive/Junior Operations Executive/Technical Operations Assistant to ensure the operational requirements and performance targets of the chemical testing laboratories are achieved through proper manpower planning, work distribution, performance monitoring and reporting.
  • Prepares reports on the chemical laboratories compliance to quality plan requirements, technical capability development progress and other operational reports such as instrument utilization, learning and development needs, and other parameters in accordance to the technical operations objectives.
• Reviews technical reports or other technical documents related to quality and safety of the laboratory.
• Performs various administrative duties such as but not limited to work distribution, staff performance monitoring including giving of feedback to ensure they meet performance standards, providing training and/or disciplining staff when necessary.
• Ensures compliance to the Group and national policies including but not limited to the maintenance of the Quality Management System
• Operating to the highest standards of ethics, in accordance with the SGS Code of Integrity.
• Operate in liaison with business management and operations support team in the resolution of business development & operational matters which impact delivery of service to the customer
• Design and implement business & operational solutions such as new tests or laboratory services to support AFL - EHS business strategies and/or directives.
• Provide technical assistance to business teams on specific testing services and queries.
• Performs other related duties as may be assigned by the Laboratory Operations Manager either in support of departmental goal or for his/her personal or professional training, education or development as programmed by his/her immediate superior.
