What you will do?

Marketing Project Activity Coordination:

• Assist in the planning, execution, and tracking of marketing activities, including completion of documents for internal approval and monitoring of activity milestones.

Business Development:

• Develop and implement comprehensive marketing plans to increase market acceptance of the entire assigned product portfolio and strengthen the 'Santen' corporate brand in the Philippines.
• Understand the corporate marketing strategy and tailor it to local policies, devising strategies for pricing, product positioning, promotion, and sales channels to effectively reach target customer segments
• Formulate operational plans and budgets for the assigned product portfolio, aligning them with customer needs, business objectives, and country strategy, ensuring approval and successful implementation.
• Oversee the tactical plan for products, including program development, advertising, and sales support materials, ensuring the creation and management of diverse promotional materials to meet various customer requirements.

Driving Financial Performance:

• Take responsibility for achieving sales targets and managing the A&P (Advertisement & Promotion) and S&M (Sales & Marketing) campaign budget for the entire assigned product portfolio, including samples and marketing-initiated internal training
• Project sales forecasts and manage inventory levels effectively to support smooth supply chain management in collaboration with company RA/QA, SCM, and distributor teams.
• Forecast product sales and market growth, engaging in strategic planning and life-cycle management to maximize product performance.
• Manage the advertising and promotion budget efficiently to optimize marketing initiatives and drive financial success.

Other Responsibilities:

• Support and train Medical Representatives on product portfolios and commercial excellence intitiatives to ensure effective interactions with medical professionals, enhancing product knowledge and sales effectiveness

Key Responsibilities:

• Supply Chain activities for Santen Philippines and backup support for Distributor Markets (currently includes Indonesia and Australia), including local supply chain operations, inventory management, distributor management and inbound logistics to ensure required customer service levels
• Inputs to Functional Team in SC-related activities such as sampling requirement, and return to principal (RTP Request) for marketing activities
• Sales Order Management (if necessary) with local Distributor, Purchase Order Requirement to Asia SCM, sales and inventory report gathering from Distributors (Indonesia/Australia), ensuring that these reports are submitted timely and provide analysis on trends, projections, and improvements (if necessary)
• Inbound shipments with Logistics Service Providers 3PL/4PL by providing required shipping documents and ensures shipments are delivered on time/on track as per KPI
• Partnership with local Distributor’s supply chain counterpart to ensure issues and concerns regarding inventory management, inventory reconciliation, shipment and inbound logistics are addressed, providing input to the improvement of processes for Distributor Management

Demand Planning and S&OP Process

• S&OP discussion (if required) to understand market complexities, understand trends, provide inputs, and support day to day operational processes
• Provide forecast analysis and root cause analysis for Forecast In-Accuracy

Purchase Order Management

• Receive and verify purchase orders by local Distributor for Distributor Markets as accordance to manufacturing rules/ MoQ and lead time. Responsible for order tracking, expedition, and fulfillment status
• Review and verify selling price to Distributor
• Furnish purchase order confirmation to local Distributor
• Support SC Manager in processing the purchase orders in Global Planning System for Distributor Markets
• Update TP price in Global Planning System upon verification with SC Manager
• Ensure that purchase orders are signed and stored accordingly to ensure proper documentation
• Goods receipt completion and closing of purchase orders (if required

Product Launch Excellence

• Documentation preparation for SC related activities such as New Product Information submission to Distributor and code creation at Distributor
• Collaboration with cross functional team (RA/QA/Commercial/Marketing) for any sample pull-out related request or sampling activities and analysis on frequency of request related to samples; MDI delays on delivery and KPI performance of Distributor in deliveries

Inbound Logistics

• Lead in pro-active coordination with Forwarders/Brokers, Consignee, and Distributor to ensure timely customs clearance and delivery of inbound shipment to warehouse
• Verify and confirm import duties and taxes for each inbound shipment, if applicable
• Screen through all shipping documents provided by Vendors and verify import license validity to avoid delays in customs clearance
• Provide necessary shipping documents to Brokers for shipment release
• Update shipping tracker to monitor lead time of shipment release, validate if lead time is within KPI and analysis on delays relating to shipment releases
• Verify with SC Manager for issues and concerns regarding Consignee, shipping documents, EPA, product shelf-life acceptance and shipment arrival (if necessary) prior to goods dispatch from Manufacturer or RDC

Inventory Management

• Perform inventory count and inventory count reconciliation together with SC Manager, finished goods inventory monitoring and reporting (e.g. short dated stocks, expired goods, aging inventory)
• Coordinate with Distributor for any inventory reconciliation concerns/queries for the Philippines
• Coordinate with Distributor for Distributor Markets (Indonesia/Australia) for inventory report and sales report gathering and first pass analysis

Distributor Management

• Master Data Management – request for product code creation/deletion request in Distributor’s system with endorsement from SC Manager
• Oversee stock destruction process for product recall and expired goods destruction in the Philippines
• Ensure reports for Distributor KPIs are submitted on time
• Gather and provide input/analysis in Distributor KPI (OTIF requirement)

General Tasks

• Verify billings from service providers related to Supply Chain cost, if applicable and endorse to SC Manager for final approval
• Coordination and execution of re-dressing activities within market to support commercial business, when applicable
• Provide data/gathering documents in relation to Philippines audits and Finance requirements
• Maintain proper filings and traceability of GDP documents (e.g. purchase orders, shipping documents, import license)

Sales Recognition, Reporting and Invoicing

• Prepares and monitors monthly sales report ensuring appropriate VAT, Distribution Fee, CWT and MAT
• Prepares sales invoices, draft transactions in Xero and send out billing to customers
• Uploads sales performance in SAP-BPC Deals and Discounts
• Ensures pricing deal and product discount granted by the distributor to its customers are approved and authorized

Accounts Receivables Monitoring and Collections

• Monitor, reconcile and confirm accounts receivable balance for collection
• Coordinate with all customer inquiry to reconcile payments and address billing concerns
• Monitor customer contact information, delinquent accounts and payment plans
• Issue Collection Receipts and draft transactions in Xero Payables
• Receive, validate and process all billings and documents from suppliers for payment
• Receive, validate and process cash advance requests and expense reports (liquidation, RF replenishments, reimbursements and corporate credit card charges) from employees ensuring validity, completeness and accuracy of supporting documents
• Draft transactions in Xero ensuring appropriate tax recognition for each transaction (relevant VAT and Withholding Taxes)
• Address and communicate concerns and queries to internal and external stakeholders
• Monitor, reconcile and confirm accounts payables balance to suppliers' Cash Disbursements
• Process check payments and fund transfer to Suppliers
• Prepare BIR Form 2307and records cash disbursement transaction in Xero Inventory Reconciliation and Valuation
• Coordinate with the Supply Chain to review and reconcile inventory movement against distributor report
• Compute for inventory costing on a monthly basis using weighted average costing
• Record inventory movement in Xero
• Represent the Finance Team in inventory counts and inventory related discussions Intercompany Transactions
• Prepare intercompany service revenue calculation, service invoices, proforma invoices and credit notes; draft transactions in Xero and send out billing to other Santen office
• Coordinate with other Santen Companies for any related party transactions needed to be reimbursed and draft transactions in Xero for payment

Government Dues

• Coordinate with and review calculations and forms prepared by tax external service provider in ensuring timely recording, submission and payment of all taxes and BIR requirements
• Prepare and summarize the Vatable expenses and expenses subject to withholding taxes for submission to external tax service provider on a monthly basis
• Coordinate with external payroll service provider and Human Resource in ensuring timely recording, submission and payment of the personnel related taxes and BIR requirements

Closing Process

• Prepare monthly set up and reversing entries for confidential and other accrued expenses
• Run monthly depreciation and amortization in the system and maintain fixed asset listing accounting for acquisition and disposals during the period
• Prepare prepayment amortization entries
• Prepare bank reconciliation and reconciling entries
• Perform closing analyses and records adjusting entries in Xero
• Maintain subsidiary ledgers and schedules to support general ledger balances Cash Flows

Others

• Assist the Finance Manager in implementing cost savings and control measures and initiatives

• Serve as system coordinator and employees’ go-to person for any Concur system related concerns
• Maintain a filing system of approved payment vouchers and journal vouchers

• Assist Admin in the conducting vendor accreditation process for new vendors
