Assists in administrative duties which may include but not limited to handling building gatepass, work permit, phone calls, e-mails and mailing processes.
Ensures cleanliness and orderliness of office common areas and small offices
Keep track of Conference Room/Meeting Rooms schedule.
Take Minutes of Meeting and update internal web page and spreadsheet
Coordination with Admin office for office issues such as but not limited to : elevator, Floor Comfort Rooms, A/C, Parking Slots.
Ensures timely processing of all necessary government permits and safekeeping of e-files.
Acts as Petty Cash Custodian, and ensure that receipts and transactions are in accordance to the standards set by the Company
Acts as the Welcome Assistant/Receptionist and make sure that visitors are attended to.
Assists VIPs, Colleagues and Clients with their needs such as but not limited to booking flights, restaurants reservation, etc. Making sure that they are comfortable during their stay.
Acts as Procurement Assistant and help in looking for at least 3 suppliers/contractors per requirement.
Monitors Preventive maintenance with the end goal of cost saving for repairs and longer use of equipment
Periodic rounds to make sure that office house rules are followed, as well as physical security and clear desk policy and issue necessary notice to employees to explain
Acts as champion for Health & Safety when in duty
Supplies inventory. Monitoring and reordering
BCP incharge incase of unwated visitors
Coordinates with Head Office for office reportorial requirements.

Working within the allocated budget without compromising the quality of purchase either service or product
Reports Petty Cash Usage
Requests Petty Cash Replenishment.
Consolidates pantry, office and conference room supplies requests every 2nd and 17th of the month for purchase.
Point person for procurement
YOUR PROFILE:
Candidate must at least possess a Bachelor’s degree.
An experience in the same field. With Safety Officer 2 certification and practice experience for a minimum of 1 year.
Attended DPO briefings and basic knowledge on Pollution Control.
Tech savvy, Adept in MS applications especially Excel and Powerpoint Keen to details and can keep confidential information Determined, self-motivated and team player.
Works with Integrity.
Required Language: English, Filipino, able to communicate clearly with others both verbally and in writing.
With residence near the office location, and willing to work on night shifts.
