About the Role:

As the Advertising Operations Assistant, your role is central to driving the success of our advertising efforts. You will not only manage and oversee the advertising operations but also play a key role in creating compelling, high-performance ad copy that resonates with our audience and drives results for partners.

Responsibilities:

1. Ad Fulfillment Management: Work with brands to ensure their ad copy and creative is delivered on time and answer any questions on their portal.

2. Partner Engagement: Serve as the primary contact for advertising partners post sale, ensuring their needs are met and their campaigns are successfully executed across newsletter, YouTube, podcast, social media, and other channels as needed.

3. Timeline Management: Manage advertising timelines meticulously to ensure deadlines are met without compromising on quality.

4. Quality Assurance: Perform rigorous quality checks on all newsletter, podcast, YouTube, and social ads, ensuring they meet our high standards and effectively convey the intended message.

5. Performance Analysis: Monitor, analyze, and report on key performance indicators (KPIs) including Impressions, Click Through Rate (CTR), Conversion Rate (CVR), on a weekly basis.

6. Assist in Key Account Retention: Be actively listening for partners requests and responses and work directly with the sales team to pass along the information to identify new avenues for advertising and when partners are ready to re-sign contracts.

• At least 2 years of relevant experience in advertising operations or a related field
• Strong understanding of advertising platforms such as Google Ads and Facebook Ads
• Detail-oriented and able to manage multiple projects

THE CHALLENGE 

• Assists in administrative duties which may include but not limited to handling phone calls, e-mails and mailing processes. 
• Ensures cleanliness and orderliness of office common areas and small offices 
• Keep track of Conference Room/Meeting Rooms schedule. 
• Take Minutes of Meeting and update internal web page and spreadsheet 
• Coordination with Admin office for office issues such as but not limited to : elevator, Floor Comfort Rooms, A/C, Parking Slots. 
• Ensures timely processing of all necessary government permits and safekeeping of e-files. 
• Acts as Petty Cash Custodian, and ensure that receipts and transactions are in accordance to the standards set by the Company 
• Acts as the Welcome Assistant/Receptionist and make sure that visitors are attended to. 
• Assists VIPs, Colleagues and Clients with their needs such as but not limited to booking flights, restaurants reservation, etc. Making sure that they are comfortable during their stay. 
• Acts as Procurement Assistant and help in looking for at least 3 suppliers/contractors per requirement. 
• Coordinates with Head Office for office reportorial requirements. 
• Other tasks that may be assigned from time to time.

We are seeking a dedicated and experienced Virtual Assistant to join our team. This person will help both Ben and Matias with some of the tasks that are repetitive and time-consuming:

Duties and Responsibilities:

• Be on calls with Ben or Matias if needed or with the internal team or clients
• Take meeting notes and able to write a summary of what we discussed
• Inform the right people about anything that needs to be done based on what we have discussed during the call
• Researching prospective companies we can work with, trying to set up a call with them
• Other research-related projects as well
• Other ad-hoc-related duties

• Help with building a database of clients by researching and importing their data into the database
