• To assist the appointed Project Manager in managing the project inclusive of cost planning, consultant and contractor procurement, design management, construction management until project completion and handover.
• On-site coordination of activities of the appointed project consultants in alignment with the project schedule and budget.
• Engage with project stakeholders (internal to the client) and external (e.g., industrial estates, authorities, and providers) in connection with the project.
• Manage and oversight all project procurement and coordination activities including, but not limited to the procurement of early works and main contractors, critical equipment and other specialist suppliers.
• Aiding appointed Project Manager in administering appointed contracts and undertake all necessary interfacing and reporting with the contractors during the post-contract phase.
• Ensure compliance to the T&T Commission Execution Plan (“CEP”) online system, risk management and business management system frameworks.
• To maintain effective project governance, processes and systems to be utilised throughout project.
• To manage the implementation of the master programme, manpower, materials & plant schedules.
• Responsible for the project planning, including producing the detailed project plan.
• To lead and facilitate the overall cross-functional project team.
• To prepare master programme, formal project progress and other reports.
• To take a leading role in interfacing with the client and other consultants, at all project stages.
• Control and properly compile all relevant documents for the project including uploading to T&T sharepoint.
• Any other work-related tasks or duties deemed required and assigned by the management / line manager.

The position is responsible in managing the overall credit and receivable collection functions of the hotel in the most efficient manner in order to minimize the non-payment of accounts and potential bad debts.  

Primary Responsibilities  

CREDIT APPLICATIONS 

• Process credit applications within 10 working days, ensuring that clients are notified promptly and professionally. The credit worthiness of all applicants is formally checked and approval must be received from the Director of Finance or it’s designate. 

• Review the credit worthiness of all existing non-Accor approved clients on a yearly basis. 

CITY LEDGER 

• Ensure all invoices / statements are issued on a timely basis. 

• Monitor the prompt follow-up of all overdue accounts and minimize the recovery delay. 

• Implement effective inquiry response procedure for guests and management. 

• Ensure all travel agent commissions are timely processed and paid. 

• Report on monthly accounts receivable ageing analysis and detailed accounts’ ledgers. 

• Conduct credit meetings at least once a month. 

• Attend Credit Managers meetings to keep up to date knowledge of credit risks. 

• Appropriately manage all delinquent accounts, liaising with debt collectors where needed. 

• Review and recommend accounts to be written off, providing appropriate documentation. 

GUEST LEDGER and LIAISON with FRONT OFFICE  

• Liaise between the Accounting Department and the Front Office 

• Ensure PX and PM accounts are checked on daily basis and transferred to city ledger within 48hrs from the departure date. 

• Review the Advance Deposit ledger to ensure all the balances are either current or for future date. 

• Inform the Front Office Manager of any deviations from policy by Assistant Managers, or Front Office Cashiers that may come to his/ her attention. 

• Ensure guest refunds are processed in a timely manner as per the hotel policy; with all supporting paperwork and required authorizations. 

GENERAL  

• Supervise daily operations of credit and accounts receivable. 

• Establish and maintain local credit policies and procedures regarding billing, collection, credit cards, inquiries, cheque cashing, etc. 

• Maintain a close working relationship and communicate with the Room Sales, Catering & Events, Food & Beverage and Front Office departments. 

• Ensure the hotel complies with corporate policy on Credit and Accounts Receivable. 

• To be responsible for preparation of the various monthly reports as required by Management. 

• To perform other duties as required by the Director of Finance or it’s designate. 

The Assistant Business Controller is responsible for all aspects of financial management, including partnership with key stakeholders, manage corporate accounting, regulatory and financial reporting, budget and forecasts preparation, as well as development of internal control policies and procedures.

He/she will play a crucial role in identifying and rectifying discrepancies while assisting in the establishment of effective control systems.

He/She plays an important role in supporting the achievement of the company goals and strategic decision-making process by making sure compliance with relevant laws and company rules.

Scope:

- Provide analysis and insight into financial reports to link them to company strategy. Interpret financial information to management while recommending further courses of action.

- Develop and implement effective commercial procedures to ensure that essential operational, commercial, and financial objectives are met.

- Playing key role on FP&A process and work with the MD to create immediate and future strategies for the organization’s planning, investment, and budgeting activities.

- Review past and present data as well as the organization’s projected future financial health to help management craft sound strategies for growth.

- Promote cost management initiatives and efficiencies, including but not limited to implementing and maintaining budgets, analyzing cost drivers, and identifying opportunities to improve operational efficiencies.

- Working with the company financial team to manage company cashflow, enforce internal controls and policies (J-SoX, US GAAP, IFRS, OGR and local GAAP).

- Drive/support ad hoc projects and tasks such as profitability analysis of new product development, business cases, capital investments, systems implementation and projects in Finance, gross margin analytics, management reporting.

Job Requirements:

- Academic Qualification: Bachelor/Master Degree

- Working experiences:

• Extensive working experience in an international commercial environment

• Proven skills in process and compliance management

• Strong accounting knowledge and experiences

• Knowledge of relevant ERP systems (JD Edwards) will be an advantage

• Strong analytical skills
