Position : Executive Assistant

Working Hours : Monday-Friday, 12 AM to 9 AM Manila time or 8am-5pm (PST)

Salary Range : 800 - 1,500 USD

Duties and Responsibilities:

• Handle day-to-day administrative tasks such as managing correspondence, emails, and phone calls on behalf of the executive.
• Prepare and edit documents, reports, presentations, and other materials as required.
• Organize and maintain files, records, and databases.
• Conduct research and assist in administrative tasks.
• Coordinate the executive's schedule, including arranging and confirming appointments, meetings, and travel arrangements.
• Ensure that the executive is well-prepared for all engagements by providing necessary information and briefing materials.
• Act as a liaison between the executive and other team members, departments, clients, and external stakeholders.
• Respond to inquiries on behalf of the executive and relay important messages accurately.
• Schedule, organize, and coordinate meetings, conferences, and events.
• Take meeting minutes, prepare agendas, and distribute relevant materials.
• Make travel arrangements, including booking flights, accommodation, transportation, and preparing travel itineraries.
• Conduct research and gather data to assist the executive in decision-making processes.
• Prepare reports, summaries, and presentations to support executive-level decisions.
• Handle sensitive and confidential information with discretion and maintain strict confidentiality at all times.
• Assist with special projects and initiatives as assigned by the executive.

• At least 2-3 years of relevant experience..
• Proven experience as an Executive Assistant or in a similar administrative role.
• Strong organizational and time management skills to effectively manage multiple tasks and deadlines.
• Candidate must be a quick learner and keen on details.
• Excellent communication skills, both written and verbal, to interact with internal and external stakeholders.
• Proficient in using Google Suite, Microsoft Office and internal tools
• High level of professionalism and ability to represent the executive and the organization with tact and diplomacy.

Minimum Requirements:

• Excellent English Communication Skills
• Mastery of Microsoft SUITE (Outlook, Word, PPT, Planner, Excel) and NOT Google Suite
• Highly Tech Savvy
• Remote experience is highly desired but not required
• Is a natural problem solver with time management and critical thinking skills.
• Detail and process oriented to ensure orders/data is complete or able to identify and resolve issues with minimum supervision
