PTW is seeking a proactive and detail-oriented HR Assistant to join our vibrant HR team. In this dynamic role, you will support various HR functions, ensuring the smooth operation of our HR processes.

As the HR Assistant, you will be an integral part of our team, providing administrative support for recruitment, onboarding, offboarding, employee records management, HR compliance, and employee engagement. You will have the opportunity to contribute to various HR initiatives that enhance employee experience and foster a positive workplace culture.

Key Responsibilities:

• Job posting, sourcing and initial screening of candidates. Provide summary of initial screening of candidates
• Track the employee and freelancers signed forms and check if it has been signed fully. Coordinate with L&D until completion of requirements during training or before live ops.
• Updating and maintaining employees and freelancers' records and database.
• Maintain and organize 201 files of all employees.
• Service invoice receiving. Coordinate with freelancers regarding the missing service invoice and errors on it.
• Maintain an inventory of supplies and equipment.
• Monitor the issued memos among Employees. Maintain sanction tracker and ensure it is updated.
• Provide support in employee engagement activities.

Education: Bachelor's degree in Human Resources, Psychology, Business Administration, or related field preferred.

Experience: Previous experience in an HR support role or administrative role is an advantage. With at least 1 to 2 years of HR experience

Skills:

• Excellent organizational skills with a high attention to detail.
• Strong written and verbal communication skills.
• Proficient in Microsoft Office Suite (Word, Excel, PowerPoint).
• Ability to handle sensitive information confidentially.
• Knowledge of HR practices and employment law is a plus.
• Proactive and able to work independently as well as collaboratively.

Key Responsibilities:

Executive Assistant Duties:

1. Administrative and Operational Support:
   • Manage the executive’s calendar, organize meetings, and prioritize commitments.
   • Prepare and manage reports, presentations, and documentation for internal and client-facing reviews.
   • Handle executive correspondence, ensuring timely communication with internal teams and global stakeholders.
2. Travel and Expense Management:
   • Coordinate complex travel arrangements (local and international) as needed.
   • Prepare and submit expense reports in compliance with company policies.
3. Leadership Team Support:
   • Organize leadership meetings, prepare agendas, and document action items.
   • Plan and support internal events such as team town halls or operational reviews.

PMO Responsibilities:

1. Project Management Support:
   • Assist in planning, monitoring, and tracking strategic projects across operations, HR, and client accounts.
   • Provide updates, risk assessments, and mitigation strategies to leadership.
   • Support the implementation of continuous improvement initiatives aligned with client SLAs and KPIs.
2. Reporting and Documentation:
   • Maintain accurate and up-to-date project documentation, including charters, risk logs, and project roadmaps.
   • Prepare weekly or monthly dashboards for executive and client reporting.
3. Stakeholder Engagement:
   • Coordinate with internal teams, clients, and cross-functional departments to ensure alignment on project goals.
   • Organize and facilitate regular updates with project stakeholders.
4. Process and Workflow Optimization:
   • Support initiatives to enhance efficiency across operations, client servicing, and back-office processes.

• Assist in the recruitment process, including scheduling interviews and coordinating with hiring managers
• Maintain employee records and update the HRIS database with accuracy and confidentiality
• Support the onboarding process for new hires and assist in organizing company events and cultural initiatives
• Help prepare HR-related reports and presentations as needed
• Assist in the administration of employee benefits, leave management, and performance management processes
