Job Title: Healthcare assistant/HR

Job Description: We're seeking a detail-oriented Health Clerical Assistant with a background in Human Resources to support our healthcare team. This role involves managing administrative tasks related to patient care and assisting with HR functions such as onboarding, record-keeping, and employee support. The ideal candidate will be organized, proactive, and capable of balancing multiple responsibilities in a fast-paced environment.

Key Responsibilities:

• Perform clerical duties such as answering phone calls, scheduling appointments, and maintaining patient records
• Assist with HR tasks including employee onboarding, maintaining personnel files, and processing payroll
• Ensure all healthcare documentation is accurate, complete, and compliant with regulations
• Coordinate with healthcare professionals to streamline administrative processes
• Provide administrative support to HR team members and assist with employee relations activities
• Maintain confidentiality and handle sensitive information with discretion
• Assist with inventory management and ordering of medical supplies
• Support the HR team in organizing training sessions and employee development programs

Qualifications:

• High school diploma or equivalent; Bachelor’s degree in Health Administration, Business Administration, Human Resources, or related field preferred
• Minimum of 2 years of experience in a clerical or administrative role within a healthcare setting
• Basic understanding of HR principles and practices
• Strong organizational and multitasking skills
• Excellent written and verbal communication skills
• Proficiency in Microsoft Office Suite (Word, Excel, Outlook)

Preferred Skills:

As a Legal Onboarding & Business Junior Officer you will:

• Assist the team with the coordination and preparation of fee proposals for Alternative Investment Funds investing in alternative asset classes e.g. real estate, private equity, debt, and infrastructure, as well as Corporate structures with the guidance of your line manager.
• Coordinate between various internal and external stakeholders, with the guidance of your line manager, to ensure a smooth onboarding process for clients until handover to the operational teams, including the following team duties:
  • AML/ KYC analysis, and driving our internal compliance approval process;
  • Bank account opening coordination;
  • Preparation, and coordinating the review, of service agreements;
  • Attend weekly calls with clients, as well as other key stakeholders;
  • Coordinating the review of legal documents for the structure setup;
  • Actively manage the communication between the client and all stakeholders; and
  • Track and perform all Luxembourg regulatory filings during the onboarding phase.

As an HR Admin Assistant, you will be responsible for providing services and assistance specifically in the facilitating the on-boarding and off-boarding process, employee welfare and benefits administration, employee relations to deliver and attend to all employees and company’s needs and concerns.

You will:

• Manage inventory levels with proper records and accountability (ie. swag, pantry, storage room, medical supplies, etc)
• Be scrappy to find the best bargain to purchase supplies, equipment, furniture, etc, and be relentlessly resourceful in decorating the office and enhancing the workplace experience for special events
• Liaise with facility management vendors, including utilities, rental, office cleaning, catering, fire safety insurance, building management with landlord/office owner and security services
• Ensure timely payment of all utilities, rental and other office expenses
• Monitor contracts such as business permits, office lease, landlord, office cleaning, etc
• Manage the service admin team including the messengers, drivers, security guards and janitorial staff
• Perform receptionist duties
• Assist with company events, team bonding, office tours and other ad-hoc events in the office or off-site
• Coordinate HR projects, meetings and training seminars
• Prepare reports and presentations for internal communications
• Assist in onboarding and offboarding activities of employees
• Keeps knowledge of people team practices up-to-date by taking part in any workshops or other educational meetings and reading any new materials.
• Collaborate with the HR team to implement employee development and training programs.
• Any other ad-hoc tasks required by the Company.
